Sign in and access the Academy

How external learners activate their OpenAleph account, sign in, choose a workspace, switch workspace and log out of the Academy.

Who can do thisExternal learner

External learners do not have a company account in OpenAleph: they are invited by an organisation into its Academy. This page explains how to activate your account after the invitation, how to sign in, and how to move between workspaces.

Before you start

  • You must have been invited by the organisation that runs the Academy. You cannot create an account yourself.
  • Look for an email with the subject "👋 You've been invited to " (in French: "👋 Vous avez été invité à "). The email language follows your account language.

Activate your account

  1. Open the invitation email ("You've been given external access to on OpenAleph") and click Activate my account.
  2. The Create password page opens ("Please type and confirm your new password."). Type your password in Password and again in Confirm password, then click Reset password.
  3. You are taken to the OpenAleph sign-in page. Sign in with the email address the invitation was sent to and your new password (see below).

Setting your password activates your account: on the organisation's side, your status changes from Pending to Active.

Important: The activation link is a one-time password-setting link. If it has expired or has already been used, ask the person who invited you to resend the invitation (they can do it from People › External users), or use the Forgot? link on the sign-in page.

Note: If you already work for the company that owns the Academy and sign in to OpenAleph with your company account, you don't receive an activation email: your access is added to your existing account and you keep using your usual password or single sign-on.

Sign in

  1. Go to the OpenAleph sign-in page (Log in / Continue to OpenAleph).
  2. Type your email and click Continue with email, then type your password and click Log in. You can also use Continue with Google or Continue with Microsoft if your email is a Google or Microsoft account. Forgot your password? Click Forgot? next to the password field.
  3. The Where would you like to go? screen opens. It shows who you are signed in as (Signed in as) and lists the spaces you can enter:
    • External access: each Academy you have been invited into, with its name, the description "Learn portal" and your role badge (for example Learner).
    • Internal access: only shown if you are also an employee of a company using OpenAleph ("Full OpenAleph suite").
  4. Click the workspace you want to enter. For an external workspace, the Academy opens on your My learning dashboard.

Note: The workspace screen is shown even if you only have one Academy. Just click it to continue.

Switch workspace

If you have access to several workspaces (several Academies, or an Academy plus your company's internal suite):

  • From the Academy: click your name at the bottom of the left sidebar, then Switch workspace. You go back to the Where would you like to go? screen.
  • From the internal OpenAleph suite: open your profile menu (top right) and click Switch workspace. This option only appears when you have more than one space.

Log out

In the Academy, click your name at the bottom of the left sidebar, then Log out. On the workspace screen, you can also click Sign out next to Not you?.

The Academy interface

Once in a workspace, the Academy has:

  • A left sidebar with the workspace name at the top, the Learning group (My learning, with a badge showing how many trainings are assigned to you), the Account group (Profile) and, at the bottom, your name and role with the account menu (Switch workspace, Log out). On small screens, the sidebar is hidden: open it with the Toggle Sidebar button at the top left.
  • A top bar with a Toggle Sidebar button (to hide or show the sidebar), the breadcrumb (OpenAleph Academy › current page) and a Toggle theme button (moon / sun icon) to switch between light and dark mode.

External learners only see the Academy: the menus of the internal OpenAleph suite are never shown to them.

Common questions

I didn't receive the invitation email.

Check your spam folder, then ask the person who invited you to check your email address and click Resend invitation (they manage this from External users). Only people invited by email (with no existing company account) receive this email.

Ask for the invitation to be resent: a new link is generated each time. You can also click Forgot? on the sign-in page and use the same email address.

I'm sent back to the workspace screen when I open the Academy.

This happens when you no longer have access to that workspace (your access was deactivated) or when the link points to a workspace you don't belong to. Pick another workspace, or contact the organisation that invited you.

I can't sign in anymore.

If your password is correct but the sign-in page refuses it (the fields turn red), your access has probably been deactivated by the organisation. External learners with no active Academy access cannot sign in. Contact the organisation that invited you so they can reactivate your access. If you simply forgot your password, click Forgot?.

The workspace screen says "We could not load your workspaces."

Click Try again. If the message persists, your access may have been deactivated: contact the organisation that invited you.

Can I use the OpenAleph mobile app?

No. The Academy is used in a web browser; it works on phones and tablets as well as on computers.

Can I change the interface language?

Not at the moment: the Academy interface, the sign-in pages and the workspace screen are displayed in English. Emails (invitation, certificate) follow your account language. Module content and certificates can be available in other languages.
