Training plans

Group training sessions into training plans to follow their schedule, members and spend - create, edit, archive and delete plans, add and remove sessions.

Who can do thisAdminSuper admin

A training plan groups training sessions, for example "2026 training plan" or "Sales onboarding Q1", so you can follow their schedule, the people they train and what they cost in one place. Plans are part of the training management option (TMS) and are marked Beta.

Before you start

Permissions: Training Plans is reserved to Admins and Super admins, and requires the TMS feature on your company. Scoped admins, Manager creators and other roles don't see it (see Access levels). If the menu entry is missing, ask your admin whether the TMS is enabled (see Modules and licences).

A plan groups sessions, not trainings: the trainings a plan covers are those its sessions run. A session belongs to at most one plan. Sessions without a training (an external course, a seminar) can only exist inside a plan.

The Training Plans page

Go to Learn › Training Plans ("Group trainings into plans to track their schedule and spend in one place.").

Left: the list of plans, with the New plan button, two tabs Current (current and upcoming plans) and Archived with their counts, a search field Search a training plan… and participant filters (Participants, Access level, Manager, Team level, Gender, Hire date, Job title, Work location...). Each card shows the plan title, its period (or None), its total cost and counts such as "2 ongoing training sessions" and "3 planned training sessions". Click a card to open the plan.

Right: the company summary, with a period selector (All time, Last month by default, Last trimester, Last semester, Last year, Custom range with From / To):

  • Total company cost: "Sum of all training sessions expenses. Upcoming training sessions cost might be estimated."
  • Total ongoing training sessions.
  • All spendings by attributes (in €): spend broken down by the employee attribute chosen in Filter by (job title by default).

View analytics (top right) opens the company-wide analytics page (see Training plan analytics and exports).

Plan statuses

Status Meaning
Current The start date is today or in the past.
Upcoming The start date is in the future.
Undefined The plan has no start date.
Archived Someone archived the plan. Its content can no longer be changed.

Statuses other than Archived are computed from the dates: a plan becomes current on its start date without any action.

Create a plan

  1. Click New plan.
  2. In Create training plan, enter a Title (required) and a Period: Start date (Optional) and Deadline (Optional).
  3. Click Create training plan. The plan appears in the Current list; click it to open it.

The plan page

The header shows TRAINING PLAN, the title, the status tag and the period, then three figures: Total cost, Cost per training session (avg.) and Cost per participant (avg.). At the top right, the pencil opens Edit training plan and the menu (three dots) offers Archive plan (or Unarchive plan) and Delete plan.

Training sessions tab

Lists the plan's sessions with Title, Training (Not set for a session without training), Status, Start date, Deadline and Total cost (with the number of participants). Click a session to open its session page. Row menu:

  • Edit training session,
  • Change status (Not started, In progress, Done),
  • Remove from plan (only for sessions that run a training): "The training session itself will be kept with its participants, it will only be detached from this plan.",
  • Delete training session: "This will permanently delete this training session and unenroll every participant from it."

Add a session to the plan

  1. Click Add a training session.
  2. "How do you want to add a training session to this plan?":
    • Launch a new training session: "Set up a training session from scratch and enrol its participants." The session wizard opens with the plan pre-selected; the training is optional and you can set Providers. Without a training, no invitation email is sent.
    • Use an existing training session: "Attach one of your training sessions that is not part of any plan yet." Choose it in Training session ("Only your training sessions that are not part of a plan yet are listed.") and click Add a training session.
  3. Click Continue.

Members tab

"Everyone assigned to a training session of this plan will show up here." Each person appears once, with Assigned training sessions, Job title, Trainings duration and Total cost (their share of the spend). Search and Filter (for example by Gender, Access level, Team level or Manager). Click a member to see Training sessions followed: each session with its training, dates and status.

Analytics tab

Charts on the plan's spend, exportable to PDF and Excel. See Training plan analytics and exports.

Edit, archive or delete a plan

  • Edit plan (pencil): change the title and period in Edit training plan, then Save.
  • Archive plan: applied immediately, without confirmation. The plan moves to the Archived tab and becomes a read-only record: no Add a training session button and no row menu on its sessions, and its sessions can't be edited from their own page either. The menu then only offers Unarchive plan, which brings it back ("Training plan has been unarchived.").
  • Delete plan (not available on an archived plan): confirm Training plan will be deleted. "The trainings linked to this plan will not be deleted, only the plan itself." The sessions of the plan are deleted with it.

Important: Deleting a plan deletes its sessions and unenrolls their participants. To keep a session that runs a training, use Remove from plan on it before deleting the plan.

Common questions

I don't see Training Plans in the Learn menu.

You need to be an Admin or Super admin and your company needs the TMS feature.

A session doesn't appear in "Use an existing training session".

Only sessions you created that are not already in a plan are listed.

Why is a plan "Undefined"?

It has no start date. Edit the plan and set a Start date (Optional).

I can't find "Remove from plan" on a session.

It's only offered for sessions that run a training. A session without a training needs its plan; delete it instead if you no longer need it.
