Exports and PDF for interviews

Export interview campaign progress and answers to Excel, and download interview PDFs (with or without AI synthesis) in OpenAleph.

You can export campaign data to Excel (.xlsx) to analyse completion and answers, and download any interview you can read as a PDF.

Excel exports

Permissions: Exports are available to people who can open the campaign: its creator, co-pilots, Scoped admins for campaigns in their scope, and Admins.

Export one campaign

  1. Open the campaign in Interview › Campaigns.
  2. Optional: in Participants & answers, select the participants to export. Without a selection, everyone is exported.
  3. Click the export icon (Export to .xlsx) at the top right.
  4. In Export data, choose the Export type:
    • Progress: "Monitor campaign completion".
    • Answers: "Focus on responses and insights".
  5. Check File format (XLSX) and Data (All interview sets or Selected interview sets (n)), then click Export (or Cancel).
  6. The message "Your export will automatically be downloaded in a few seconds." appears; you can close it. The file downloads when ready.

The export icon is not available on scheduled campaigns (no interviews yet).

Export several campaigns

  1. In Interview › Campaigns, Current tab, tick the campaigns (or apply filters without ticking to export all matching campaigns).
  2. Click Export to .xlsx and proceed as above (All campaigns or Selected campaigns (n)).

Content of the Progress export

  • A campaigns sheet with, for each campaign: title, type, dates, participants total, campaign completion (%), completion of interviewees (IE), interviewers (IR) and cross reviews (CR), and the number of parts per status (not started, in progress, submitted, not available yet).
  • A row per participant with the participant, person in charge, hire date, the status of each part (IE, IR, CR), their submission dates and the link to the interview.

Content of the Answers export

  • A summary of the campaign (title, type, template, dates, creator and co-pilots, participants total, completion, total answers).
  • One sheet per template, with one row per participant and, for each question, one column per respondent role (IE, IR, CR) according to the question's visibility, plus a comment column when comments are allowed. Column titles give the question number, type, role and text, with "(required)" for required questions.

Tip: Only submitted parts are counted as answers. Send reminders before exporting final results.

Interview PDF

Permissions: You can download the PDF of any interview you can open: your own interview, interviews you are in charge of, and submitted interviews you can read as manager, co-pilot or admin.

  1. Open the interview.
  2. Click the download icon (Download pdf) in the top bar. A menu titled Download pdf opens.
  3. Choose:
    • PDF only Q&A: the questions and answers.
    • PDF with synthesis: the same with the AI synthesis. Available only once a synthesis has been generated (see AI features).
  4. If the template has translations, pick the PDF language and click Apply.
  5. The PDF is generated and downloaded after a few seconds.

On the mobile app, a PDF icon appears on an interview once it is submitted (see Mobile app). For exports of other modules, see Exports and reports.

Common questions

The export didn't download.

Generation runs in the background; wait a few seconds and check your browser's downloads. Large campaigns take longer. If nothing arrives, try again.

Why are some answers empty in the Answers export?

The part was not submitted yet, or the question was not visible to that role.

PDF with synthesis is greyed out.
