Holidays

Add, rename and inactivate company public holidays and closing days in Work Time › Configuration › Holidays, and how they affect absence counts.

Who can do thisAdminSuper admin

Holidays are the public holidays and closing days of your company. They are shown on every calendar and in the planning, and they are excluded from the Worked days and Open days counts, so employees don't spend leave on them. Holidays apply to all members of the company.

Before you start

You need the Admin or Super admin access level.

Open the holidays

  1. Go to Work Time › Configuration.
  2. On the Holidays card ("Define company holidays that apply to all employees."), click Manage Holidays.

The Holidays page lists the active holidays in a table:

Holiday The holiday title.
Date Its date (for a recurring holiday, the first occurrence).
Added on When it was created.
Repeats every year Yes or No.

Use Search to find a holiday by title, Sort by (Date added or Holiday date) and the filters on Date added and Holiday date. When the list is empty it reads "All company holidays will show up here."

Add holidays

  1. Click Add Holiday.
  2. In the window ("Add one or more holidays to your calendar."), fill in the Holiday title and the Holiday date.
  3. Turn on Repeats every year for holidays on a fixed date (for example 1 January, 1 May, 14 July, 25 December). Leave it off for holidays whose date changes every year (for example Easter Monday or Ascension Day), and add them for each year.
  4. Click Add another holiday to add more lines in the same window.
  5. Click Save. "Holiday(s) added successfully." confirms it.

Each date can only be used once: "This date is already used by another holiday." or "Each holiday must have a unique date." means another holiday already uses it.

Rename a holiday

  1. In the row's menu, click Edit.
  2. "Rename this holiday. Only the title can be changed." Change the Holiday title and click Save.

To change the date, inactivate the holiday and add a new one.

Inactivate a holiday

  1. In the row's menu, click Inactivate.
  2. Confirm Inactivate in the "Inactivate this holiday?" dialog: "This holiday will no longer apply. You can still find it in archived holidays."

"Holiday inactivated." confirms it. The holiday no longer appears on calendars and is counted again as a normal day in new requests. Inactivation can't be undone: add the holiday again if needed.

To see inactivated holidays, open the menu at the top of the table and click View inactivated holidays. The Inactivated holidays window lists them with an Inactive tag.

How holidays affect absences

Calendar days Counted, like any other day.

The count is made when the request is submitted. Adding or inactivating a holiday afterwards doesn't change requests already submitted: if needed, the member cancels and re-submits the request, or an admin adjusts the balance.

Common questions

Can I have different holidays per country or site?

No, holidays apply to the whole company.

Can I delete a holiday?

Holidays are inactivated rather than deleted, so the history of past requests stays consistent.

Employees still see a holiday I removed.

Check that you inactivated it (it should appear in View inactivated holidays), then ask them to refresh the page.
