Overview of OpenAleph's two survey products, Team Survey for employees and Client survey for external clients, with roles, concepts and workflows.

OpenAleph includes two separate survey products. Team Survey asks your own employees questions, for example an engagement, onboarding or well-being survey. Client survey sends short satisfaction surveys by email to people outside your company, such as the client sites your teams work for. They have different menus, templates, permissions and results, and your company can have one, both or neither.

Note: Each product is a separate module licensed per company. If you don't see Team Survey or Client survey in the sidebar, your company may not have the module enabled; ask your admin (see Modules and licences). Role names are explained in Roles and access levels.

Team Survey

Key concepts

  • Template: a reusable questionnaire (chapters, paragraphs and questions), stored in Team Survey › Templates.
  • Campaign: one run of a survey. It has a title, a period (start date and deadline), a list of participants, one or more persons in charge and one template.
  • Participant (or respondent): an employee asked to answer. Each participant has their own answer sheet.
  • Person in charge (pilot) and co-pilot: the people who run the campaign. They follow progress, send reminders and read the results. Pilots are chosen when the campaign is created; co-pilots can be added afterwards. Both have the same access to the campaign.
  • Anonymized campaign: a campaign where names and profile pictures are hidden from everyone reading the answers. See Anonymity in Team Survey.
  • Snapshot: when a campaign is launched, the questionnaire is frozen. Later edits to the template don't change what participants of that campaign are asked.

Permissions: A campaign is visible to its creator, its persons in charge and its co-pilots. Admins see every campaign of the company. A scoped admin sees campaigns created by people inside their scope, plus the ones they run.

Typical workflow

  1. A manager creator or an admin builds a questionnaire in Team Survey › Templates. See Create a Team Survey template.
  2. They create a campaign in Team Survey › Campaigns › New campaign, pick participants, persons in charge and the template, choose whether answers are anonymous, and launch it. See Launch a Team Survey campaign.
  3. Participants receive an invitation (email, push and in-app notification) if the creator chose to send one, and answer from Team Survey › My surveys. See Answer a team survey.
  4. Persons in charge follow completion, send reminders and add or remove participants. See Manage a Team Survey campaign.
  5. They read the results question by question, filter them, pin and comment on answers, generate an AI synthesis and export to Excel. See Read Team Survey results.

Client survey

Key concepts

  • Client (client site): an external organisation or location you serve, with a primary contact (name and email) and the assigned members from your company who work with it, each with a role.
  • Template: a short questionnaire made of Rating, Yes/No and Open questions, always ending with a Global rating question.
  • Survey (session): one template sent to one client. The client's primary contact receives an email with a unique link and answers without logging in.
  • Status: Sent (email sent), Viewed (the link was opened), Answered (the client submitted).

Typical workflow

  1. An admin adds the clients (one by one or with an Excel import) and assigns members to each. See Manage clients.
  2. An admin creates a template. See Create a client survey template.
  3. A manager creator or admin sends the survey to one client or to many at once. See Send a client survey.
  4. The client answers from the link in the email. The sender receives an email when the answer comes in.
  5. Results are read on the dashboard and the survey page, and exported to Excel. See Read client survey results.

Mobile

See Mobile app for what the OpenAleph app covers.

  • Team Survey pages work in a phone's web browser, so participants can answer from the link in their invitation. The OpenAleph mobile app doesn't currently have dedicated Team Survey screens. Campaign management (creation, participants, exports) is designed for the web app.
  • Client survey isn't available in the OpenAleph mobile app. Clients answer the public survey page from any browser, including on a phone.
