Learn (LMS)
Overview of OpenAleph Learn - modules, playlists, trainings, sessions, certificates and training plans - and who can do what in each role.
OpenAleph Learn is the learning module of OpenAleph. Employees follow structured trainings and browse a catalog of short learning units; content creators build that content, with AI help if they want it; training managers run training sessions, track who completed what, issue certificates and, with the training management option, follow training plans and budgets.
You find it in the main navigation under Learn. The menu has up to five entries: My Learning, Catalog, Trainings, Training Plans and My content. My Learning, Catalog and Trainings are shown to everyone who has Learn; My content only to Manager creators and above; Training Plans only to Admins and Super admins whose company has the training management option (see below).
Key concepts
| Term | What it is |

| Module | The smallest learning unit: a rich-text page (text, images, videos, tables...) with an optional audio narration and one evaluation. Learners complete the evaluation inside a training; once they pass it, the module is Acquired. |
| Evaluation | What a learner must do to acquire a module. There are three types: Self-assessment (the learner confirms they understood the learning objectives), Quiz (100% of answers must be correct) and Face-to-face evaluation (open questions reviewed by an expert). |
| Playlist | A curated, ordered list of modules, published in the catalog. Anyone can read it; it isn't assigned to anyone and has no evaluation or completion tracking. |
| Catalog | Every published module and playlist of your company, visible to all employees. |
| Training | A structured learning path made of sections, each holding modules. A training isn't visible in the catalog: learners get it by being enrolled in a training session, and it's where they complete evaluations. |
| Training session | One run of a training for a group of people, with a start date, a deadline, a mode (Online or Offline / Onsite) and its participants (internal employees and, if used, external learners). |
| Co-pilot | A colleague (any role) you add to a training to help run it: edit its content, launch sessions and follow learners. |
| Co-author | A Manager creator or admin credited on a module you created. |
| Certificate | A certificate of completion that a training can issue to learners, automatically or manually, with a public verification link and QR code. |
| Badge | A gamification reward earned by acquiring modules, completing trainings, adding modules to favorites and reacting to modules. |
| Training plan | A group of training sessions (with or without a training behind them) to follow their schedule, participants and spend in one place. Part of the training management option. |
| Provider / Expense category | Company-wide lists used to tag sessions with the suppliers who ran them and to categorise session expenses. |
Licences: LMS and TMS
Learn is sold as two features that your company can have together or separately:
- LMS (learning): My Learning, Catalog, Trainings, modules, playlists, sessions, certificates, My content.
- TMS (training management): Training Plans, analytics on spend, session costs and expenses, attached documents, providers and expense categories.
The training session page opens with either licence; its cost and expense parts only appear with the TMS. If you don't see an entry described in these pages, your company may not have the corresponding feature enabled: ask your admin. See Modules and licences.

Typical workflow, end to end
- A content creator opens Learn › My content, clicks Create and creates a Module: writes the content in the editor (or asks Aleph AI to draft it), sets the duration, tags and cover, chooses the evaluation type, then clicks Publish. The module appears in the Catalog for everyone.
- Optionally, the creator groups modules into a Playlist, and translates modules into other languages or adds an audio narration.
- To have people learn and be evaluated, the creator builds a Training (Learn › Trainings › New training): sections, modules, estimated cost, co-pilots, then Publish.
- Right after publishing, they Launch a training session: title, mode, start date and deadline, participants, cost, and choose whether to send the invitation email.
- Learners find the training in Learn › My Learning under Assigned Trainings, follow each module in the learning studio and pass each evaluation. The training is completed when every module is acquired.
- The trainer follows progress on the training's management page (Analytics, Training sessions, Learners tabs), sends reminders and, if configured, certificates are issued.
- With the TMS, admins group sessions into Training Plans, record actual costs and expenses, tag providers, and read spend analytics, exportable to PDF or Excel.
