People attributes

Configure the sections and fields of member profiles - system and custom fields, field types, options, required fields and "Show in filters".

Who can do thisAdmin

People attributes are the fields that make up a member profile: identity, personal information, employment information and any custom field your company needs. Admins manage them in Settings › Profiles fields (the same editor is also available at the People attributes page, "Define the attributes used in employee profiles and filters.").

Before you start

Only Admins can change people attributes. Scoped admins can view them.

Sections

Fields are grouped in sections, shown as blocks on each profile.

  • Three built-in sections always come first and cannot be moved or deleted: General, Personal information and Employment information.
  • Click New section to add a custom section, give it a title, then add fields to it.
  • Drag and drop custom sections to reorder them. Use the search field to find a section or a field.
  • To delete a custom section, use its delete action and confirm Delete section ?.

System fields

System fields exist in every company and feed the rest of OpenAleph.

  • Fields of the General section are fully locked.
  • For system fields in the other sections, you can only change Required and Show in filters. Their title and type cannot be changed, and they cannot be moved or deleted.
  • The options of Work location, Level, Contract type and Job title are managed in their own Settings sections, see Company settings.
  • Organisation unit fields are created automatically when you create a unit type in Settings › Organisation units.

By default, Hire date, Job title, Work location, Contract type, HR reference and Level are shown in filters.

Add a custom field

  1. Go to Settings › Profiles fields.
  2. In the section of your choice, click New field.
  3. Fill Title* and choose the Type* (see the table below).
  4. For Select and Multi-select fields, click Select options and add the values with Add option.
  5. Tick Required if every profile must have a value, and Show in filters if the field should be usable as a filter.
  6. Click Save.

Each field shows a summary line: System or Custom, its type, Required or Optional, and In filters or Not in filters.

Required fields and "Show in filters"

  • Required: the field must be filled when a profile is created or edited in OpenAleph.
  • Show in filters: the field becomes available as a filter wherever members are listed (the members directory, participant selection in campaigns, previews) and can be used to build scoped admin perimeters. Only select and reference types (Select, Multi-select, Country, Language, User, Job title, Org Unit) are relevant for perimeters.

Edit, move or delete a field

  • Edit: open the field, change it, then Save.
  • Move to another section: choose the destination Section* and click Move.
  • Remove an option of a select field: confirm Remove this option ?. "Members who have this option selected will lose that value once the attribute is saved. This can't be recovered."
  • Delete: confirm Delete attribute ?. All values stored in that field for all members are lost, and any scoped admin perimeter rule based on it is deleted.

Who sees the fields

Fields appear on member profiles. What a person can see and edit on a profile depends on their access level: members see their own profile, managers see their team (with a limited set of fields), scoped admins their perimeter and admins everyone. See Your profile and member profiles.

Common questions

I can't rename the "Hire date" field.

It is a system field. You can only change whether it is required and shown in filters.

My new field doesn't appear as a filter.

Edit the field and tick Show in filters, then save.

My members are synchronised from our HRIS. Can I still add custom fields?

Yes. Your HRIS integration can then send values for those fields: each field has a technical identifier available through the API. See Integrations and HR data sync.

What happens to data when I delete a field?

The values are deleted for every member and cannot be recovered. If you only want to stop using a field, consider leaving it optional instead.
