Create an interview campaign
Step-by-step guide to the OpenAleph campaign wizard - title and period, participants, person in charge, templates, summary, launch now or schedule.
A campaign sends the same interview to a group of employees over a given period, for example "Annual reviews 2026" or "Probation reviews - Q3". You create it with a five-step wizard: Basic settings, Participants, Person in charge, Template(s) and Summary. Campaigns are always of the One to one type: each participant has their own interview with a person in charge.
Before you start
- At least one template must exist in Interview › Templates. See Create and edit templates.
- Check that your participants' direct managers are correct in their profiles if you want managers to conduct the interviews (see Employee profile and Edit and deactivate users).
Start the wizard
- Go to Interview › Campaigns and click New campaign.
- If you already have a campaign draft in progress, the Create campaign from draft? dialog opens:
- Yes, resume draft reopens the draft at the step where you left it.
- No deletes the draft and starts a new campaign from scratch.
- The Create a campaign wizard opens. On large screens, a timeline on the left shows the five steps. Use Next and Previous to move between steps.
Your draft is saved at every step, and Yes, resume draft reopens it at the last step you reached. If you close the wizard (close button at the top right), the Campaign draft saved dialog confirms that the draft is kept for 30 days; click OK. To resume it, click New campaign again and choose Yes, resume draft. You can only have one draft at a time.
Step 1: Basic settings
- Campaign title*: the name participants will see in their interview list and emails.
- Campaign period*: click the field and select the first day and the last day of the campaign in the calendar, then click OK. The first day is the start date (the launch date), the last day is the deadline. Dates in the past cannot be selected.
- Click Next. If a field is missing, the message "Please fill all required fields (*)." appears and the field is highlighted.
Step 2: Participants
The text reminds you that "Selected participants are set as interviewees."
- Use the table to select the employees who will be interviewed. It shows Member (name and email), Job title, Manager, your company's custom profile fields, Hire date and Gender.
- Use the search bar and the filters (Access level, Manager, Gender, Hire date, Job title and your custom profile fields) to narrow the list. The number of selected people ("n items selected") is shown above the table.
- Tick participants one by one, or use the header checkbox to select all the people matching your search and filters.
- Click Next. At least one participant is required ("Please select at least one participant.").
Step 3: Person in charge
"The person in charge takes the role of interviewer." Choose how interviewers are assigned:

| Specific person | "One person is in charge of all the campaign's interviews." | Person in charge*: the person who conducts every interview (for example an HR business partner). |
Click Next. You can still change the person in charge of individual participants after launch.
Step 4: Template(s)
Choose between:
- Single template: "Select a single template for all participants."
- Multiple templates: "Assign different templates based on participants' category." Useful when managers and non-managers, or different countries, need different questionnaires.
Then:
- In Assign a default template, select the Template*. Click the eye icon (Preview) to check its content. With Single template, everyone gets this template. With Multiple templates, it is used for every participant you don't assign to a specific template.
- With Multiple templates only, in Assign specific templates to participants:
- Click Assign a template.
- In the Assign template to participants window, Step 1: Choose a template. Step 2: Select participants among the campaign's participants (people already assigned to another template are excluded; when everyone is assigned, the message "All participants have been assigned a template" is shown).
- Click Save.
- Repeat for other templates. Each row of the table shows the Template and its Participants. Use the row menu to Edit or Delete an assignment, or click the row to see the assigned participants.
- Click Next.
Tip: Need a new template? Click the templates page link at the top of the step ("Go to the templates page to create templates."). The dialog "Your campaign is saved as draft." confirms your draft is kept; click Go to templates, create the template, then come back with New campaign › Yes, resume draft.
Step 5: Summary
The Campaign summary shows the Campaign type (One to one), Campaign title, Campaign period, number of Participants, Person in charge and Template (or Template(s) used with multiple templates). Click Previous to fix anything.
Launch the campaign
- Click Launch campaign.
- The Send invitation emails? dialog opens:
- If the start date is today: "Do you wish to send invitations by email for this campaign? They will be sent now."
- If the start date is in the future: "Do you wish to send invitations by email for this campaign? They will be sent on date."
- Click Yes, send emails or No.
What happens next depends on the start date:

| Today | The campaign is launched immediately and appears in the Current tab. Interviews are created for every participant. If you chose Yes, send emails, each interviewee receives an invitation to their interview and each interviewer receives one notice that they are interviewer in the campaign, whatever the number of people they interview (email, in-app notification and mobile push). |
| In the future | The campaign is Scheduled and appears in the Upcoming tab. Nothing is visible to participants yet. If you chose Yes, send emails, participants immediately receive a "You will take part in campaign" email, and the interview invitations are sent automatically on the start date. |
In both cases, you (the campaign creator) receive a confirmation email "🚀 Your campaign name has been launched!" once the campaign actually starts, with a summary of the settings (title, period, number of participants, person in charge option, default person in charge and templates) and a View campaign link.

What participants get
Depending on the template type, each participant's interview set contains:
- Interviewee (IE) template: one interview for the employee.
- Interviewer (IR) template: one interview for the person in charge.
- Both: one interview for each.
- Cross Review: one for each, plus a cross review that opens when both are submitted.
Employees find their interview in Interview › My Interviews, interviewers in Interview › Team Interviews.
Common questions
I don't see the Campaigns menu or the New campaign button.
You need the Manager creator access level or above. Ask your admin.
My draft disappeared.
Drafts are kept for 30 days. Also, clicking No in the Create campaign from draft? dialog, or using Relaunch campaign on another campaign, replaces your current draft.
Can I make a campaign recurring?
Not from the wizard. To run the same campaign again, use Relaunch campaign on an existing campaign: it opens a new draft with the same participants, person in charge settings, templates and title; you only have to set a new period (and adjust the title). See Manage a campaign.
A participant has no manager. Who will interview them?
With the Manager option, participants without a direct manager are assigned to the Default person in charge.
Can I change the start date after scheduling?
Yes, from the Upcoming tab with Edit period, or start it right away with Launch now on the campaign page. See Manage a campaign.
