Choose reviewers

Each reviewee in a Feedback 360 campaign needs reviewers: the colleagues who will answer the questionnaire about them. Reviewers can be assigned in several ways, which can be combined. This page explains who can choose reviewers, how to do it and what happens next.

Who can add and remove reviewers

Any active member of the company can be chosen as a reviewer, except the reviewee themselves (their own feedback is the self-review).

Automatic assignment

When Assign reviewers randomly is on, OpenAleph picks up to the Number of reviewers per participant (1 to 5) for each reviewee, in this order:

1. Peers: colleagues who share the reviewee's manager.
2. Manager (N+1): the reviewee's direct manager.
3. Direct reports (N-1): people who report to the reviewee.

People are drawn at random inside each group, and the next group is used only if the previous one doesn't provide enough people. If a reviewee has fewer connections than the number asked, only the available ones are assigned; a reviewee with no peers, manager or direct reports gets none. Automatically assigned reviewers can be removed or completed by hand like any other.

Add reviewers as a person in charge

1. Go to Feedback › Dashboard and open the As person in charge tab.
2. Click the campaign card. The list of your reviewees opens.
3. On a reviewee with no reviewers, click Add reviewers; otherwise unfold the reviewee with the arrow at the end of the row and click Add reviewer.
4. In the window, use Who do you want as reviewer ? (placeholder Search for reviewers): type a name and pick the person. They are added at once ("Reviewer added successfully.").
5. Repeat for each reviewer, then close the window.

Each reviewer shows their status: Not started, In progress or Submitted (shown as Done in the campaign's Manage reviewers window). The reviewee's self-review is not listed among the reviewers.

Choose your own reviewers as a reviewee

Only possible if the campaign allows it. If so, you usually received the email "Choose who will give you feedback in ...".

1. Go to Feedback › Dashboard, tab As participant, switch I am reviewed.
2. On the campaign card, click Add reviewers (or the "+" at the end of the avatar pile if some are already chosen).
3. Search for each person in Who do you want as reviewer ? and select them ("Reviewer added successfully."). Use the minus button to remove someone who hasn't submitted yet.

You can also do this from your feedback page, by clicking Add reviewers or the reviewer avatars in the top bar.

Add reviewers as the campaign manager

1. Open Feedback › Campaigns and click the campaign.
2. Open the Participants & answers tab.
3. Click the "..." menu on the reviewee's row and choose Manage reviewers.
4. Add or remove reviewers in the window (titled with the number of reviewers, for example "2 reviewers").

Remove a reviewer

In the reviewer window, click the minus button next to the person, then confirm Remove this reviewer? with Yes, remove. The message warns that "They will no longer be able to answer or view this feedback review." Their draft answers are deleted.

A reviewer who has already submitted can't be removed: the minus button is disabled in the campaign's Manage reviewers window, and from the person in charge's dashboard the attempt ends with "This reviewer could not be removed."

Reopen a submitted review

If a reviewer submitted by mistake and needs to change their answers, the campaign owner, a co-pilot (manager creator or above) or an admin can reopen the review:

1. Open the reviewer window for the reviewee (Manage reviewers on the campaign page, or the reviewer avatars on the reviewee's page).
2. Click the Reopen icon (circular arrows) next to the submitted review ("Review reopened.").

The review goes back to In progress (or Not started if it has no answers) and the reviewer can edit and submit it again. Persons in charge can't reopen reviews.

What reviewers receive

When a reviewer is added to a running campaign, they get an email "[Reviewee name] would like your feedback", with a Give my feedback button, and an in-app notification Feedback to give. The review then appears in their Feedback › Dashboard › I am a reviewer and in Next up! on the home page.

Reviewers assigned automatically at launch (and reviewees' self-reviews) are only emailed at launch if you chose Yes, send emails. Otherwise, use Send reminder email on the campaign page to write to every reviewer who hasn't submitted yet.

Common questions

I'm a reviewee and I don't see "Add reviewers".

The campaign doesn't let reviewees choose their reviewers: your card shows Awaiting reviewer(s). Your person in charge will choose them. Ask them if you want to suggest names.

Can a reviewer refuse or be approved before answering?

No. There is no approval or refusal step. If someone should not review a person, the person in charge removes them before they submit.

Is there a minimum or maximum number of reviewers?

No limit is enforced when choosing by hand. The automatic assignment picks between 1 and 5 per reviewee. Keep in mind that answers are not anonymous (see Anonymity and privacy).

Can I add myself as a reviewer of someone?

Yes, if you are allowed to manage that reviewee's reviewers, you can pick anyone in the company, including yourself, except the reviewee.

The reviewee has left the company.

Remove them from the campaign on the campaign page (see Manage a campaign). This deletes all their reviews.
