Training plan analytics and exports

Read training spend across all plans or within one plan - by plan, session, provider, attendance mode, category and employee attribute - and export to PDF or Excel.

Training plan analytics show where the training budget goes and what it buys. There are two levels: the company-wide analytics, which read every plan together, and the Analytics tab of a single plan. Both need the TMS feature and are reserved to Admins and Super admins.

How spend is calculated

  • Each session costs its training session cost (the actual cost if recorded, otherwise the estimate from the training) plus its expenses.
  • A Per participant amount is multiplied by the number of people enrolled.
  • A plan's Total cost is the sum of its sessions. Its Cost per participant divides that total by the number of distinct people it trained (someone attending three sessions counts once).
  • Everything is computed live: when you change a cost, add an expense or enrol someone, the figures update.

Company-wide analytics

Go to Learn › Training Plans and click View analytics. The page Training plans analytics ("Every training plan of the company, read together: where the budget goes and what it buys.") has Back to training plans, Export to PDF and Export to Excel.

Filters

  • Period: All time (default), Last month, Last trimester, Last semester, Last year or Custom range (From / To).
  • Training plan: read one plan only (the subtitle then reads "..., read on its own").
  • Participant filters: Participants, Access level, Manager, Team level, Gender, Hire date, Job title, Work location and your company's other people attributes.

"For a plan to be included, it must: have at least one session within the selected period; have at least one participant matching the chosen criteria."

Charts

Chart What it shows
All spendings by attributes (in €) Spend split by the employee attribute chosen in Filter by (job title by default; e.g. team or location).
Spending by training plan (in €) "How the company total splits across the plans that cost something". Small plans are grouped as Other training plans.
Training cost vs. expenses by plan (in €) "What each plan was billed, and what was logged as an expense on top of it".
Cost per participant by plan (in €) "What one head cost in each plan — a total normalised by how many people it trained".
Spending by plan status (in €) "How much of the budget is on live plans and how much is closed" (current, upcoming, archived...).
Spending by attendance mode (in €) "What the company spends running its sessions online and on site". Sessions without a mode show as Mode not set.
Spending by provider (in €) "What the company spends with each provider its training sessions were run with".
Expenses by category (in €) "What the expenses logged across every plan went to, by the category they are tagged with".

Maximise chart opens a chart in a larger Chart detail window, with its own period filter.

Analytics of one plan

Open a plan and click the Analytics tab. It has its own Export to PDF and Export to Excel buttons and a Filter by attribute selector. Charts are read within the plan:

  • Spending by attribute (in €),
  • Share of spending by training session (in €): "How the plan total splits across the training sessions that cost something" (small ones grouped as Other training sessions),
  • Training cost vs. expenses by session (in €),
  • Cost per participant by session (in €): "What one head cost in each session, dearest first — a total normalised by how many people it trained",
  • Spending by attendance mode (in €): "What the plan spends running its sessions online and on site",
  • Expenses by category (in €): "What the expenses logged on this plan went to, by the category they are tagged with",
  • Spending by provider (in €): "What the plan spends with each provider its training sessions were run with".

A new plan shows messages such as "No training session of this plan has cost anything yet." until its sessions have a cost.

Export to PDF or Excel

  1. Set the filters you want: the export follows them.
  2. Click Export to PDF or Export to Excel.
  3. "The export generation is in progress. You can close this message." When it's ready, "Your export will automatically be downloaded in a few seconds."

The PDF contains the charts; the Excel file contains the underlying figures, for further analysis. The export of a single plan always covers the whole plan. For other exports available in OpenAleph, see Exports and reports.

Common questions

A plan is missing from the analytics.

It has no session in the selected period, or none of its participants matches the participant filters. Widen the period to All time and clear the filters.

The totals include sessions that haven't happened yet.

Yes: upcoming sessions count with their recorded or estimated cost ("Upcoming training sessions cost might be estimated."). Use the period filter to exclude them.

Charts say "No training plan of this company has cost anything yet."

No session has a cost or expense. Record costs on the session page.
