Getting started

What OpenAleph is, the modules it contains, who sees what, and where to start as an employee, manager or admin.

OpenAleph is an HR and talent platform. It brings together, in one place, everything that helps people grow at work: interviews, 360 feedback, surveys, goals and OKRs, skills, e-learning, time off and workforce planning. This section covers what every user needs before diving into a specific module: how to log in, how the interface is organised, what your access level lets you do, and how to get help.

The modules

Each company chooses which modules it uses. The modules your company subscribes to appear in the left-hand menu under Apps. If a module described below is missing from your menu, your company probably doesn't use it. Ask your admin.

Key concepts

Term Meaning
Company Your organisation's OpenAleph space. Everything you see (people, campaigns, content) belongs to your company.
Access level Your role in OpenAleph: Employee, Manager, Manager creator, Scoped admin, Admin or Super admin. It decides which menu entries and actions you get. See Roles and access levels.
Manager In OpenAleph, the person set as your manager on your profile. Your manager sees your interviews, goals and trainings in their team views.
Workspace A space you can enter after logging in: your company (internal access) or an Academy space of another organisation (external access).
Campaign A wave of interviews, feedback, surveys or reviews launched to a group of people with a deadline.
Aleph AI The AI assistant built into some pages (syntheses, content writing, training chat). See Aleph AI assistant.

Who does what

Role Typical use
Employee Fills in their own interviews, feedback and surveys, follows trainings, updates their goals, requests time off, looks up colleagues in the org chart.
Manager Everything an employee does, plus follows their team: team interviews, team goals, the team dashboard on the home page, leave requests to approve.
Manager creator A manager who can also create content: interview, feedback and survey campaigns, templates, Learn modules and trainings.
Scoped admin An administrator limited to a population (for example one site or one department).
Admin Configures the company: members, access levels, settings, all campaigns and content.
Super admin The highest level, with every admin right. It is set up by OpenAleph and can't be granted from the app.

Your first steps

  1. Open the invitation email you received ("Invitation to join ... in OpenAleph") and click Log in to OpenAleph. See Log in to OpenAleph.
  2. Enter your work email. On your first login, OpenAleph emails you a password. Use it to log in.
  3. Change this password from your profile if you wish, and pick your language (English or French). See Profile and preferences. Your profile itself (information, interviews, trainings, goals) is described in Your profile and member profiles.
  4. Look at the home page: Next up! lists what you have to do now (interviews, trainings, surveys). See Home page and navigation.
  5. Install the mobile app if you want to do your trainings, interviews and goal updates on your phone. See Mobile app.

Pages in this section

Typical workflow

  1. An admin creates your account (manually, by import or via an HR system sync) and sends you an invitation. See Add and invite members.
  2. You log in and land on the home page, which shows only the modules your company uses.
  3. When a campaign is launched (an annual review, a 360 feedback, a survey, a training), you receive an email and the task appears in Next up! on the home page and in the module's "My..." page.
  4. You complete the task on the web or on the mobile app before the deadline. Depending on the module and the campaign, reminders may be sent to you by email.
  5. Managers follow their team's progress from the Team Dashboard tab of the home page and from each module's team pages.
