Launch a Team Survey campaign

Step-by-step guide to the Team Survey campaign wizard, from title and period to participants, anonymity, persons in charge, template and launch.

A campaign sends one questionnaire to a group of employees over a period of time. You create it with a five-step wizard: Basic settings, Participants, Person in charge, Template and Summary.

Before you start

  • You need the Manager creator role or above.
  • At least one template must exist in Team Survey › Templates. See Create a Team Survey template.
  • Decide whether answers should be anonymous. This choice can't be changed once the campaign is running. See Anonymity in Team Survey.

Start a new campaign

  1. Go to Team Survey › Campaigns.
  2. Click New campaign.
  3. If you already have a draft in progress, a Create campaign from draft? window opens. Click Continue to resume your draft, or Start over to delete it and start a new one. You can have only one campaign draft at a time.

The Create a campaign wizard opens. On large screens, a timeline on the left shows the steps. Use Next and Previous to move between them. Each step is saved when you click Next.

Step 1: Basic settings

  1. Enter the Title* of the campaign. Participants see it in their list and in emails.
  2. Click Campaign period* and select a range in the calendar: the first day you click is the start date, the last one is the deadline. Click OK.
    • Dates in the past can't be selected.
    • A start date in the future makes the campaign scheduled: it starts automatically that day.
  3. Click Next. If a required field is empty, a message asks you to fill all required fields.

Step 2: Participants

  1. The table lists your company's members with their job title, manager, work location, nationality, level, contract type, HR reference, hire date and gender.
  2. Use the search bar and the filters (for example Access level, Gender, Manager or your company's custom fields, see People attributes) to narrow the list.
  3. Tick the people who should answer. Selecting all entries selects everyone matching the current search and filters, not only the visible page.
  4. Under Participants settings, turn on Anonymize answers if participants' profile pictures and names must be hidden from the people reading the answers.
  5. Click Next. You must select at least one participant.

Important: Anonymize answers is locked as soon as the campaign is running. Check it now.

Step 3: Person in charge

The person in charge monitors survey progress and reviews participants' answers. You can choose several.

  1. In Select person in charge, open the Person in charge* list and pick one or more people. The list contains managers and above.
  2. Click Next.

Persons in charge see the campaign in Team Survey › My surveys › As person in charge, and can read the results. Those with the Manager creator role or above can also manage the campaign (participants, emails, deadline). You can change them after launch with Manage pilots, and add co-pilots. See Manage a Team Survey campaign.

Step 4: Template

  1. Under Assign a default template, pick the questionnaire in the Template* field.
  2. Click the eye icon next to the field to preview it.
  3. If you need a new template, click the templates page link. Your campaign is saved as a draft; click Go to templates, create the template, then come back with Team Survey › Campaigns › New campaign › Continue.
  4. Click Next.

Step 5: Summary and launch

The Campaign summary lists the Campaign type (Survey), Campaign title, Campaign period, number of Participants, Anonymise answers (Yes/No), Person in charge and Template. Use Previous to fix anything.

  1. Click Launch campaign.
  2. The Send invitation emails? window asks whether participants should be invited:
    • If the campaign starts today: "They will be sent now".
    • If it starts later: they will be sent on the start date.
  3. Click Yes, send emails to invite participants, or No to launch without inviting them. You can send invitations later from the campaign page.
  4. You're taken back to Campaigns:
    • A campaign starting today appears in the Current tab with the message "Campaign launched."
    • A campaign starting later appears in the Upcoming tab with the message "Campaign scheduled for" and its date.

What happens at launch

  • The questionnaire is frozen (snapshot). Later edits to the template don't affect this campaign.
  • Each participant gets an answer sheet with the status Not started.
  • The campaign creator receives an email saying the survey has started, with its dates, number of respondents and whether answers are anonymous. For a scheduled campaign, this happens on the start date.
  • If you chose Yes, send emails, each participant receives an invitation email plus a push and in-app notification with a direct link to their survey (on the start date for a scheduled campaign).
  • Participants also see the survey in the Next up! section of their home page and in Team Survey › My surveys while it's running.

Save and resume a draft

Closing the wizard (the close button at the top) shows Campaign draft saved: your draft is stored for 30 days. To resume it, click New campaign then Continue. The wizard reopens on the step where you left.

Scheduled campaigns

A campaign in the Upcoming tab hasn't started yet: it can't be opened and nobody can answer it. Its row menu (...) offers:

  • Edit period: choose a new range. If you pick today as the start date, a Launch your campaign now ? window warns that the campaign will be launched now; click Launch now to confirm.
  • Delete campaign: deletes it permanently (nobody has answered yet, so it isn't kept in the deleted campaigns).

Relaunch a campaign

To ask the same people the same questions again (for example every quarter), open the ... menu of a campaign in the Current tab and click Relaunch campaign. A new draft opens in the wizard with the title, template, anonymity setting, tags, persons in charge and the previous participants already filled in. Choose a new period and launch it. The results of the previous campaign are kept separately.

There is no automatic recurrence: each round is relaunched manually. Relaunching isn't possible while you already have another draft in progress.

Common questions

I don't see the Campaigns menu or the New campaign button.

You need the Manager creator role or above. If Team Survey isn't in your sidebar at all, the module isn't enabled for your company.

Can I change the anonymity setting after launch?

No. Once the campaign is running, Anonymize answers is locked so that answers already given keep the promise made to participants. To change it, relaunch the campaign as a new one.

Can I add participants after launch?

Yes, from the campaign's Participants tab with Add participant. The new participant isn't invited automatically: send them an invitation from their row. See Manage a Team Survey campaign.

I launched without sending invitations. How do I invite people now?

Open the campaign, go to Participants, click the notifications icon and choose Send invitation email, or use Send email to participants in the row menu of the Campaigns list.

Why can't I pick today's date or earlier?

The period can't start in the past. Choose today to launch immediately, or a later date to schedule the campaign.

The Launch campaign button shows an error.

Check that the template still exists (a deleted template can't be used) and that at least one participant is selected, then try again.
