Manage a review cycle
Follow a skills review cycle, add or remove reviewees after launch, change owners and reviewers, share reviews with contributors, add co-pilots, edit, relaunch or delete a cycle.
Once a cycle is launched, you follow and adjust it from its cycle page: who is reviewed, by whom, who owns each reviewee's reviews, who co-writes them, and who helps run the cycle.
Find a cycle
- Skills › Reviews: the Review Cycles in Progress panel (the Review cycles tab on mobile) lists the current cycles you are involved in, with their completion, deadline and number of reviewees. Click a cycle to open it.
- Skills › Reviews › See all opens the Review Cycles page, with three tabs: Current, Upcoming and Completed. The table shows Cycle title, Reviewees, Completion, Start date and Deadline. The ⋮ menu of each row offers Edit cycle, Relaunch cycle, Manage co-pilots and Delete cycle.
Which cycles you can see
| Role | Cycles listed and opened |
|---|---|
| Admin | Every launched cycle of the company. |
| Scoped admin | The cycles they created, co-pilot or take part in, plus every cycle created or co-piloted by someone in their population. If no population is configured, their direct reports are used. |
| Manager creator | The cycles they created, co-pilot, or in which they write, own or co-write a review. |
Drafts are never listed: resume them with New cycle. The cycle page itself is reserved to manager creators and above. Employees and managers also see the cycles they take part in under Review Cycles in Progress, but they can't open the cycle page (a manager who follows the link gets Restricted Access). Managers who own reviews work from Your reviews (see Answer a skills review). Scoped admins are described in Scoped admins.
The cycle page
The header shows the cycle title, the template used (Template: ..., "n templates assigned" or Automatic template assignment), a status tag and the period.
| Status | Meaning |
|---|---|
| Upcoming | The start date is in the future. Reviewers don't see their reviews yet. |
| Current | Between the start and end dates. |
| Finished | The end date has passed. The cycle is listed in the Completed tab of the Review Cycles page. |
| Deleted | The cycle is in the trash (see below). |
There is no separate "close" action: a cycle is shown as Finished (and listed under Completed) after its end date. Change the Cycle period if you need to extend it.
The top bar has a back arrow, an export icon (see Results and exports) and a ⋮ (More) menu with Edit cycle, Relaunch cycle and Manage co-pilots (current cycles only) and Delete cycle.
The page has five tabs:
- Overview: the progress report and charts (Results and exports).
- Reviewees: one row per reviewee, to manage who is reviewed, by whom and who owns it.
- Reviews: one row per review, to share reviews with contributors.
- Results: every reviewee's ratings, grouped by skill category (Results and exports).
- 4-Box matrix: the talent matrix (Talent matrix).
Reviewees tab
The table lists each reviewee with their Owner (name and email), the Template (multiple-templates cycles), the Skills number and the Completion (submitted reviews out of all reviews for that person, for example "1/2"). A reviewee without any reviewer shows Set reviewer(s). Use Search, the rows-per-page selector and Filter (completion, owner, or any profile field such as hire date, job title or work location).
Actions on one reviewee
Open the ⋮ menu at the end of the row:
| Action | What it does |
|---|---|
| See reviewee profile | Opens the person's profile. |
| Send invitation email | Sends the review invitation again to every reviewer of this reviewee. |
| Send reminder email | Sends a reminder to the reviewers of this reviewee who haven't submitted yet. |
| Manage reviewers | Opens the list of reviewers of this reviewee. Add or remove people, then Save. |
| Change owner | Opens Set another owner: pick the new Owner (a manager or above) and click Apply. All the reviews of this reviewee get the new owner. |
| Remove review from cycle | Removes the reviewee from the cycle after confirmation. |
Important: removing a reviewer in Manage reviewers, removing a reviewee, or deleting reviews deletes the corresponding reviews and their answers. Adding reviewers through Manage reviewers doesn't email them: use Send invitation email afterwards.
Actions on several reviewees
Tick the reviewees (or use the header checkbox to select everyone matching your filters). Three icons appear in a bar above the table:
- the bell (Send notifications) › Send invitation email or Send reminder email, for the reviewers of all selected reviewees;
- the person-and-gear icon (Assign owner or reviewers): the Assign window opens. In Role to assign, choose Owner (then pick a manager or above) or Reviewers (then pick any members in Reviewers), and click Apply. Added reviewers receive an invitation email and notification straight away;
- the bin (Delete): removes the selected reviewees' reviews from the cycle after the Delete reviews ? confirmation.
Add reviewees after launch
- In the Reviewees tab, click the Add reviewees icon (a person with a plus sign, next to the rows-per-page selector).
- In the Add reviewees window ("Choose the new reviewees and one owner for their reviews to launch them."), pick the Owner of the new reviewees' reviews (mandatory, a manager or above).
- In a multiple-templates cycle, pick the Template they will answer.
- Select the people in the list (search, filters, or everyone matching them).
- Click Add.
The message tells you how many reviewees are being added, and how many were left out because they are already in the cycle or, in automatic cycles, because they have no job title. Reviews are created in the background within a few seconds. The new reviewees get the reviewers defined by the cycle's reviewer rules (manager, peers, direct team, self-assessment). No email is sent automatically: use Send invitation email once they appear.
A reviewee you removed can be added back the same way.
Reviews tab: share a review with contributors
The Reviews tab lists one row per review: Reviewee, Reviewer, Contributors (No contributors or, for example, "1 contributor"), Status (Not started, In Progress, Submitted) and Template. Use Search a reviewee to find one.
A contributor co-writes a review with its reviewer: they open the same form, can answer and submit it, and the answers are credited to the whole group. This is different from adding a reviewer, which creates a separate review.
- For one review: ⋮ › Manage contributors, select the people in Contributors on this review, then Save.
- For several reviews: tick them, then click Add contributors or Remove contributors.
New contributors receive an email and a notification ("You co-write a skill review"). Removed contributors can no longer open or write the review; the answers already written stay. A review that has no reviewer cannot have contributors. Contributors can be added or removed even after the review is submitted.
Co-pilots
Co-pilots help run a cycle: they open the cycle page, follow progress, manage reviewers and see all the reviews.
- On the cycle page, open ⋮ › Manage co-pilots (available on current cycles).
- In the Manage co-pilots window, search or filter the list and tick the co-pilots (only manager creators and above are listed), then click Continue.
New co-pilots receive the email "You are Co-pilot for the skills review cycle ...".
Edit a cycle
⋮ › Edit cycle opens Edit review cycle on the Configuration step. After launch, only the Cycle title and the Cycle period can be changed; the template assignment and the other options are greyed out and shown for information. Click Save.
Relaunch a cycle
Relaunch cycle (current cycles) creates a new cycle copied from this one: same title, period, template mode and templates, options, reviewer rules, owner rule, reviewees and 4-box configuration. The Relaunch review cycle wizard opens so you can adjust it; click Relaunch cycle and choose whether to send invitation emails. The original cycle is not changed.
Delete and restore a cycle
- Open ⋮ › Delete cycle. The Delete the review cycle ? window reminds you that "Deleted cycles are stored for 30 days. After this period, they will be permanently deleted." Confirm with Delete.
- Deleted cycles are kept for 30 days, then permanently deleted. To see them, go to Skills › Reviews (or the Review Cycles page) and open ⋮ › View deleted cycles.
- From that list, Restore a cycle or delete it permanently. You can also open a deleted cycle: its page offers Restore and Delete permanently.
While a cycle is deleted, its reviews can't be answered: reviewers opening one see Cycle Deleted. Links between the cycle and goals are removed.
Common questions
A manager can't open the cycle page.
The cycle page is reserved to manager creators and above. Owners follow their reviewees' reviews from Skills › Reviews › Your reviews, where they can also send invitations and reminders, manage reviewers and change the owner.
A scoped admin doesn't see a cycle.
Scoped admins see the cycles created or co-piloted by people in their population, plus those they are involved in. A cycle created by someone outside their population isn't listed, even if it reviews people inside it, unless they are a co-pilot.
I added reviewees but nothing happened.
Reviews are created in the background: refresh the page after a few seconds. People already in the cycle, and people without a job title in automatic cycles, are skipped.
Can I change the reviewer rules or the template after launch?
No. Add reviewers per reviewee (Manage reviewers, Assign owner or reviewers) or relaunch the cycle with other settings.
How do I close a cycle early?
Edit the cycle and set the end date to today: the cycle shows as Finished from the next day. There is no separate close button, and submitted reviews stay available for analysis.
