Manage an interview campaign
Manage OpenAleph interview campaigns after launch - participants, person in charge, invitations and reminders, deadline, co-pilots, tags, relaunch, deletion.
Once a campaign is launched or scheduled, you manage it from Interview › Campaigns and from the campaign page: you can add or remove participants, change who conducts the interviews, send invitations and reminders, change the deadline, add co-pilots, relaunch or delete the campaign.
Before you start
The campaigns list
Go to Interview › Campaigns. The page has two tabs:
- Current: launched campaigns. Columns: Campaign title (with the type One to One below it), Participants, Completion (percentage of submitted interviews: red at 0%, orange in progress, green at 100%), Start date, Deadline, Tags.
- Upcoming: scheduled campaigns that have not started yet, with the Scheduled status.
On Current, use the search bar (campaign title, creator or participant name) and the filters (Start date, Participants total, Campaign type, Completion, Creator, Tags). Tick campaigns and click the export icon (Export to .xlsx) to export them. See Exports and PDF.
Click a row to open the campaign page.
Row actions on the Current tab
Open the ⋯ menu at the end of the row:

| Delete campaign | Moves the campaign to the deleted campaigns (kept 30 days). Hidden when the campaign is 100% complete; use the campaign page instead. |
Co-pilots are managed from the campaign page (Co-pilot icon), see below.
Row actions on the Upcoming tab

| Edit period | Select a new start date and deadline. If you pick today as the start date, the dialog Launch your campaign now ? asks you to confirm with Launch now. |
| Delete campaign | Deletes the scheduled campaign after confirmation (Campaign will be deleted › "This is a permanent action." › Delete). A deleted scheduled campaign does not go to the deleted campaigns and cannot be restored. |
Note: Recurring campaigns created in the past show Manage recurrence and Delete campaign and stop recurrence instead. Deleting such a campaign also deletes all its future recurrences. New campaigns can no longer be made recurring; use Relaunch campaign instead.
The campaign page
The header shows the campaign type, the title, a status tag (Current, Scheduled or Deleted) and the period. The icons at the top right are:
- Sparkles icon (Aleph AI): opens the Aleph AI panel on the right to ask questions about the campaign's answers. See AI features.
- Group icon (Co-pilot): opens Manage co-pilots. Available to the campaign creator and to Admins.
- Export icon (Export to .xlsx): export progress or answers.
- More: Edit deadline and Delete campaign.
A launched campaign has two tabs: Overview (charts, see Track campaign progress) and Participants & answers.
Participants & answers
The table lists one row per participant:

Search by name and filter by Template, Completion or Person in charge. Click a row to open the Interview set window: it shows the status of the Interviewee, Interviewer and Cross Review parts, with a View answers button for each part you are allowed to read (as an Admin or co-pilot, answers are readable once submitted).
Toolbar actions
Above the table (apply to the selected rows, or to everyone if nothing is selected):
- Add participant (user icon): see below.
- Send notifications (bell icon) › Send invitation email or Send reminder email. The confirmation explains that the email goes to the selected participants and their persons in charge, with a link to their interview. Only people whose part is not submitted yet are emailed.
- Change person in charge: pick a new person with Search by name* and click Apply.
- Delete (appears when rows are selected): removes the selected participants from the campaign.
Row actions
The ⋯ menu of a row offers:

Note: Campaign creators and co-pilots who are not admins also see the Unlock ... and Submit ... options, but the action is refused ("Error unlocking interview."). Ask an Admin, or a Scoped admin for people in their scope.
Add a participant after launch
- On Participants & answers, click the Add participant icon (person with a plus sign) above the table.
- The Add participant window opens ("Choose the new participant, a person in charge of their interview and a template to assign them in order to launch their interview."). Fill in Participant* (people already in the campaign are not proposed) and Person in charge* (managers and above). If the campaign uses multiple templates, also choose the Template; otherwise the default template is used.
- Click Add.
The participant's interview set is created right away, and both the participant and the person in charge are notified (email, in-app notification and mobile push).
Change the person in charge
Use Set another person in charge on a row, or Change person in charge for several rows at once. The new person in charge takes over the interviewer part (including answers already entered by the previous interviewer) and the cross review, and receives the "You are Interviewer in the campaign" notification. The previous person in charge no longer sees the interview in Team Interviews.
Note: Managers can also hand over an interview they are in charge of, from Team Interviews. See Conduct your team's interviews.
Remove participants
Use Remove from campaign on a row, or select rows and click Delete, then confirm with Remove.
Important: Removing a participant from a launched campaign deletes their whole interview set, including all answers already given. This cannot be undone.
Scheduled campaigns
A campaign whose start date is in the future has a simpler page:
- A banner says "This campaign has not started yet. Participants will be notified when it launches on date." Click Launch now and confirm (Launch this campaign now?) to start it immediately instead of on the planned date; participants are notified.
- There is no Overview tab and no export, since no interview exists yet. The participant table shows Participant, Template and Person in charge (the person who will be assigned at launch).
- Add participant only asks for the participant (and the template with multiple templates); the person in charge is resolved at launch. If invitations were requested when scheduling, the newcomer receives the "You will take part in" email.
- Row menu: See participant profile, Set another person in charge, Remove from campaign ("This person will not be part of this campaign when it starts."). A scheduled campaign must keep at least one participant.
Co-pilots
A co-pilot is a Manager creator who helps you run the campaign with the same rights as you on it (see and manage participants, send reminders, export, use Aleph AI).
- Click the Co-pilot icon at the top right of the campaign page.
- In Manage co-pilots ("No co-pilots added" until you add one), type a name in Search for co-pilots and pick the person. They are added immediately and receive the email "You're now Co-pilot in the campaign name".
- Click Remove next to a co-pilot to remove them.
Relaunch a campaign
Relaunch campaign (Current tab row menu) creates a new draft that copies the campaign's title, participants, person in charge settings and template assignments, using the latest version of each template. The period is left empty. The wizard opens so you can adjust everything before launching. Relaunching replaces any campaign draft you had in progress.
Delete and restore a campaign
- Use Delete campaign in the row menu or in More on the campaign page, and confirm.
- The campaign disappears from the list. Participants opening one of its interviews see "This interview belongs to a deleted campaign. No actions are allowed."
- Deleted campaigns are stored for 30 days. To restore one, click ⋯ next to New campaign, choose View deleted campaigns ("Deleted campaigns are stored here for 30 days. After this period, they will be permanently deleted."), and use the restore icon on its row. You can also open it, or Delete permanently (irreversible).
Is there a "close campaign" action?
No. A campaign stays in the Current tab after its deadline. The deadline is shown to participants and in emails, but it does not lock interviews: people can still answer after it. Each interview is locked when its respondent submits it. To close outstanding interviews, an Admin can force-submit them with the Submit ... row actions, or you can remove the participants concerned.
Common questions
Why can't I unlock an interview?
Unlocking and force-submitting are reserved to Admins (and Scoped admins for people in their scope). Ask your admin.
I sent a reminder but a participant didn't receive it.
Reminders are only sent for parts that are not submitted yet. Also check the person's email address in their profile and their spam folder.
The Delete campaign option is missing in the list.
It is hidden on campaigns that are 100% complete. Open the campaign and use More › Delete campaign.
Can I change the template of a running campaign?
No. The template version is fixed at launch. You can add a participant with another template (multiple templates campaigns), or relaunch the campaign.
