Company settings

Manage your company's logo, name, homepage banner and pinned information, and its structure - organisation units, work locations, job titles, seniority levels, contract types.

Who can do thisAdminScoped admin

The Settings page is where admins manage the company identity and the lists that structure member profiles. It is reached from the main menu, Company › Settings. Its subtitle reads "Manage your company structure and general information."

Before you start

  • Admins can view and change everything.
  • Scoped admins can open the page but cannot save changes (fields are disabled or the change is refused).
  • Other levels don't see Settings in the menu.

Page layout

The left menu (tabs on mobile) is organised in three groups:

General

Click the logo area and choose an image. Only .jpg and .png files are supported (10 MB maximum). The logo is saved as soon as it is uploaded, there is no Save button.

Company name

Edit Company name (required). A Save button appears once you change the value; click it to apply.

Homepage: banner

Under Homepage › Banner, upload the image displayed at the top of every member's homepage. Same formats as the logo (.jpg, .png); it is saved on upload.

Pinned information

Pinned information is a list of links shown on everyone's homepage, for guidelines or global information all members must be able to find (HR policy, benefits portal, internal wiki, holiday calendar...).

  1. Click Add information.
  2. Fill Title and Link (both required).
  3. Confirm. The card appears immediately on the homepage.

Each card can be edited or removed from its own menu; changes apply immediately.

Organisation units

Organisation units describe how your company is broken down: departments, business units, teams, legal entities, sites... You first create a unit type (for example "Department"), then the units of that type ("Finance", "Marketing"...), which can be nested.

Create a unit type

  1. Go to Settings › Organisation units.
  2. Click New unit. A new type named "New organisation" appears in the left panel.
  3. In the right panel, enter the Organisation title (for example "Department"). It is saved automatically as you type.

Important: Creating a unit type automatically creates a profile field with the same name in the Employment information section of profiles. That is where you assign members to a unit, and that field can be used in filters and scoped admin perimeters.

Add units

  1. Select the unit type in the left panel.
  2. Click New sub-unit.
  3. Fill Title, and optionally Head of unit (optional) (a member) and Parent unit (optional) to nest the unit under another one.
  4. Click Save.

Drag and drop cards to reorder them. Use the search field to find a unit type quickly.

Delete

  • To delete a unit, use its delete action and confirm Delete unit?.
  • To delete a whole unit type, hover it in the left panel, click the bin icon and confirm Delete org unit type?. This deactivates the type, all its units and the matching profile field. "This action is permanent and cannot be undone."

Work locations, seniority levels and contract types

These three sections manage the option lists of the built-in profile fields Work location, Level and Contract type. They all work the same way:

  1. Click the add button. A new line appears ("New location", "New level" or "New contract type").
  2. Type the name and click Save (or Cancel).
  3. To rename an item, use Edit on its line.
  4. Drag and drop to reorder (the order is the one used in drop-down lists).
  5. To delete, use Delete and confirm.

Important: Deleting an item removes that value from every member who had it and deletes any scoped admin perimeter rule that used it. This cannot be undone.

Job titles

  1. Go to Settings › Job titles.
  2. Click Add job title, type the Job title (required) and save.
  3. Select a job title in the left list to see its details: the number of employees who hold it, a description (Add description, then save) and its Associated skills.
  4. Associated skills are read only here. Use Go to Skills framework to assign skills to manage them in the Skills module (requires the Skills module).
  5. Drag and drop to reorder (not available while a search is active).

Deleting a job title (confirm Delete job title?) removes it from every member who had it.

Profiles fields

This section contains the profile structure editor: sections, custom fields, required fields and filters. It is documented in People attributes.

What is not managed here

  • Access levels and perimeters are set on each member, see Access levels.
  • Interview template tags are managed from Interview › Templates (Edit template tags) and campaign tags from the campaign actions (Edit campaign tags), by Manager creators and above.
  • Learn themes (topic labels on training modules) are added directly in the module editor (Add new theme).
  • Modules are enabled by OpenAleph, see Modules and licences.
  • Your personal language is set in your own profile settings, see Translating content.

Common questions

I don't see Settings in the menu.

Only admins and scoped admins see it. Ask an admin of your company to change your access level if needed.

My logo doesn't upload.

Check the format (.jpg or .png) and size (10 MB maximum). Other formats such as .svg or .webp are refused.

I'm a scoped admin and I can't save changes.

That is expected: company settings can only be changed by admins.

I deleted a work location by mistake. Can I get it back?

No. Create it again and reassign it to the members concerned, then check the perimeters of your scoped admins that relied on it.

My members are synchronised from our HRIS. Should I still create lists here?

Yes. The synchronisation assigns values that already exist in OpenAleph (options, organisation units, job titles); it does not create them on the fly unless your HRIS integration creates them through the API first. See Integrations and HR data sync.
