Survey notifications and emails

Every email, push and in-app notification sent by Team Survey and Client survey, who receives it, when, and what it contains.

This page lists every message the two survey products send, so you know who is told what and when. Nothing is sent automatically on a schedule: apart from the launch and completion messages, emails go out only when someone clicks a send button. Team Survey

What the emails contain

  • Campaign started: the campaign name, start date, deadline, number of respondents, whether answers are anonymous, and a See the survey button to the campaign page.
  • Invitation: the campaign name, the deadline to reply before, whether answers are anonymous, and an Answer the survey button that opens the participant's own sheet.
  • Reminder: the campaign name, the closing date and an Answer the survey button.
  • New comment: who commented, the campaign name, the comment and a Check the survey button.

Emails are sent in each recipient's language.

Rules worth knowing

  • Invitations and reminders are never sent to participants who declined. Reminders are never sent to those who already submitted.
  • Adding a participant to a running campaign doesn't send anything: send them an invitation from their row.
  • No email is sent to persons in charge when someone submits. This protects anonymous campaigns; follow completion on the campaign page instead.
  • There is no automatic reminder before the deadline.
  • On a deleted campaign, no email can be sent.

Client survey

  • The survey invitation shows your company logo and name, the optional personal message and a Fill in the survey button. It's written in the sender's language (English or French), as is the public survey page.
  • The completion email contains the client's name, the global rating given and a View survey responses button.
  • There is no reminder or resend for client surveys: send a new survey if needed.

In the app

  • Team Survey sheets you still have to answer appear on the home page in Next up! with Start survey or Continue survey, until their deadline.
  • The OpenAleph mobile app doesn't currently have Team Survey screens. To answer, use the link in the email or open Team Survey › My surveys in a web browser (it works on phones too).

Common questions

A participant says they never got an invitation.

Check that invitations were sent (at launch or later) and that the person wasn't added after launch. Resend from the campaign's Participants tab with Send invitation email.

Can I stop OpenAleph from emailing participants at launch?

Yes: answer No in the Send invitation emails? window. The campaign-started email to the creator is still sent.

Who is told when a client answers?

The person who sent the survey, by email. Members included in the survey can see the answer on their dashboard.
