Configure workforce planning
How an admin chooses the primary organizational unit and the secondary unit that structure Strategic Workforce Planning, and what changing them does.
Before anyone can use Strategic Workforce Planning, an admin must choose how your organisation is structured in it: the Primary organizational unit (one plan is created per value) and the Secondary unit (used to break down each plan and set targets).
Before you start
- Permissions: only Admins and Super admins can save the configuration.
- The units you can choose are your company's organisational units (defined in Settings › People attributes, see People attributes) and Work location. Set them up there first, and make sure employees' profiles have these attributes filled in: that's what OpenAleph uses to count members.
Configure for the first time
- Open SWP in the Apps section of the navigation menu.
- The page shows Set up your workforce planning. Click Configure your structure.
- The SWP Configuration window opens.
- In Primary organizational unit ("The main level used to organize workforce planning — pick one of your company attributes."), click Select an attribute and choose the main level (for example "Department" or Work location).
- In Secondary unit ("The sub-level used to break down each primary unit inside its page."), choose the sub-level used inside each plan (for example "Team").
- Check the Live preview — sample structure on the right: Workforce planning will be grouped by: shows the primary unit (with its number of nodes and sample values), then the secondary unit, then Job Title (individual roles within each group).
- Click Save configuration (or Cancel). The message Configuration saved. appears.
The two units must be different; otherwise the message "Primary and secondary units must be different" appears and you can't save.
What happens next: OpenAleph creates one plan for each active value of the primary unit. They appear on the dashboard with the status Not configured (reload the page if the cards don't show up right away), until someone sets their targets (see Set targets for a plan).
Note: If a manager opens SWP before the configuration exists, they also see Set up your workforce planning, but only an admin can save the configuration.
Change the configuration
- On the SWP dashboard, click Configuration (next to the search bar). This button is only visible to admins.
- Choose another primary and/or secondary unit.
- Click Save configuration.
Plans and targets are attached to a pair of units. When you switch to a new pair, the dashboard shows the plans of the new pair (new plans start as Not configured). If you later switch back to a pair you already used, its plans and targets are found again.
New unit values
When you add a value to the primary unit (for example a new department) in the people attributes, a plan is created for it automatically the next time the dashboard is opened. New secondary unit values are added to each plan's target list with a target of 0.
Common questions
I don't see the Configuration button.
It's reserved for Admins and Super admins.
The unit I want is not in the list.
Only organisational units and Work location can be used. Create the unit in Settings › People attributes first.
I can't save: "Primary and secondary units must be different".
You picked the same attribute twice. If your company only has one attribute available (for example only Work location), create an organisational unit first so you have two different levels.
Why does a plan show 0 members?
Members are the active employees who have that unit value on their profile. Check that employees' attributes are filled in.
