Modules and licences
Which OpenAleph modules exist, how they are enabled for your company, how to know what is active, what users see when a module is off, and guided tours.
OpenAleph is made of modules (Interview, Learn, Goals, and so on). Each company has the modules included in its contract, through licences managed by OpenAleph. This page explains what each module is, how to tell which ones your company has and what happens when a module is not enabled.

People and Settings are part of every company and are always available.
Learn: two licensed parts
Learn is split in two features that are enabled separately:

A company can have one or both. If only training management is active, Learn shows only Training Plans (and only to admins).
How modules are enabled
- Modules are enabled by OpenAleph according to your contract. Each licence has a start and an end date and can renew automatically.
- Company admins cannot switch modules on or off themselves. To add a module, remove one or check a renewal, contact your OpenAleph account manager or support (Help & Support at the bottom of the menu).
- When a licence ends and is not renewed, the module disappears from the menu. The data is not deleted.
How to know which modules are active
There is no dedicated licence screen. The quickest way is to look at the Apps section of the main menu as an admin: it lists every module your company has. Admins see all the entries of each module (campaigns, templates, configuration); other levels see fewer entries, see Access levels.
What users see when a module is not active
- The module is hidden from the navigation, for everyone.
- Opening a link to it (for example from an old email) shows the Restricted Access page: "You cannot access this page at the moment. This may be due to your access level or the status of the content. If you believe this is a mistake, please contact an Admin in your company." with a Back to homepage button.
- Guided tours and notifications for that module are not shown.
The same Restricted Access page appears when the module is active but the person's access level does not allow the page. To tell the two cases apart, check whether the module appears in your own admin menu.
Guided tours
Some pages come with a short guided tour: a series of tooltip bubbles that point at parts of the screen and explain them.
- A tour starts automatically the first time a member opens a page that has one.
- Once finished or skipped, it does not come back. Some tours are marked as mandatory and cannot be skipped.
- Tours adapt to the access level: admins may see extra steps about admin actions.
- Tours are only shown for modules your company has.
- Tours are written and maintained by OpenAleph. There is nothing to configure on your side.
Mobile app
The OpenAleph mobile app uses the same account and access levels. It only lists the modules active for your company, and not every module is available on mobile. If no module is available, the mobile app says "No applications activated yet."
Common questions
A module we bought doesn't appear in the menu.
Reload the page. If it is still missing, the licence may not have started yet or may have ended: contact your OpenAleph account manager.
Can I hide a module from some employees only?
Not per person. What each person sees inside a module depends on their access level (for example, campaigns and templates are only shown to Manager creators and above).
I see "Training Plans" but not the catalog.
Your company has the training management part of Learn but not the learning management part (or the reverse applies to other people). Contact your account manager to change it.
What happens to our data if a module is removed?
It stays in OpenAleph but is no longer accessible in the interface. If the module is enabled again, the data comes back.
