Translating content
Interface language versus content languages, and how to translate interview, feedback and team survey templates and Learn modules manually, with an Excel file or with AI.
OpenAleph separates two things: the interface language (menus, buttons, emails), chosen by each member, and the content languages of what your company writes (templates, training modules), which you translate yourself. This page covers both.
Interface language
The OpenAleph interface is available in English and French.
- Each member chooses their language on their own profile: open your profile, then Settings › OpenAleph Language.
- Admins can also set a member's Language when creating or editing them in People › Members.
The interface language is also the default language in which content is shown to the member when a translation exists.
Content languages
Content can be translated into six languages: English, French, Deutsch (German), Italian, Spanish and Swedish. Each piece of content has a source language (the one it was written in) and any number of additional languages.
Translatable content:
| Content | Where to translate it |
|---|---|
| Interview templates | Template editor, translate icon |
| Feedback templates | Template editor, translate icon |
| Team Survey templates | Template editor, translate icon |
| Learn modules | Module editor, language settings |
Translate a template (Interview, Feedback, Team Survey)
- Open the template in edit mode.
- Click the translate icon in the header. The Template translation window opens. It lists the Source language (tagged Source) and every added language with its status.
- Click Add Language and choose a language (languages already added are greyed out).
- For each language, choose how to translate it with the row actions:
- Translate with AI: the whole template is translated automatically in the background. The status shows Translating with AI... then changes to translated.
- Download translation: downloads an Excel file to translate offline (see below).
- Upload translation: imports the completed Excel file.
- Delete language: removes that translation ("Translation deleted successfully").
- Close the window. The link How to translate my template? › Click here opens a step-by-step guide.
Translation statuses
| Status | Meaning |
|---|---|
| Translation missing | The language was added but nothing is translated yet. |
| Translating with AI... | An AI translation is running. |
| Translated | All texts are translated. |
| To update | The source template changed after the translation was done. Review the translation (re-run AI or upload a new file). |
| Error | The last import or AI translation failed. Try again. |
The Excel translation file
The downloaded .xlsx file has one sheet, Translations, with four columns:
| Column | Content |
|---|---|
| Field UID | Technical identifier of each text. Do not change it. |
| Source Text | The text in the source language. |
| Translation Text | Where you type the translation. |
| Status | Must be set to translated on every row before upload. |
Rules for a successful upload:
- keep the header row exactly as it is;
- do not delete or add rows, and keep every Field UID;
- set Status to
translatedon every row, otherwise the import is refused with "All translation status must be set on translated".
The file is generated in the background: a message tells you to wait a few seconds and the download starts when it's ready. Imports also run in the background and a message confirms when the translations are imported.
AI translation
Translate with AI translates every text of the template into the chosen language. Review the result before launching a campaign: open the template in that language, or download the file to proofread it. AI translation is available for all the languages listed above.
Translate a Learn module
- Open the module in the Learn editor (Learn › My content).
- The Primary language is the language the module was written in ("Select the language used in this module.").
- Click Add Another Language and Select language.
- Choose what to translate: Translate title and description, Translate evaluation, Translate audio narration (some are Required, others Optional), then click Translate. The module shows Module Translation in progress while the translation runs.
- The Languages in this module list shows each language; Primary marks the source. Incomplete Translation warns you when "Some sections haven't been translated yet:" and lists them.
What participants see
- In an interview, the participant can switch the language: the Interview translation window lists "all the languages available for this interview", managed by the template creator; choose one and click Apply. PDF downloads follow the selected language.
- In Learn, learners can choose among the languages of the module with Choose language › Apply.
- When no translation exists for a language, the content is shown in its source language.
Common questions
I don't see the translate icon on a template.
You need to be able to edit the template (you created it, or you are an admin). Deleted templates cannot be translated.
My upload is refused.
Check that the header row is unchanged, that no Field UID is empty and that every row's Status is translated.
I edited the template after translating it. What happens?
Translations that were complete switch to To update. The previous translated texts stay, but new or changed texts must be translated again.
Can the interface be shown in German or Spanish?
No. The interface is available in English and French only. German, Italian, Spanish and Swedish are available for your content.
