Notifications and mobile app
The emails and notifications sent by Work Time (requests, decisions, cancellations, imposed absences, balance adjustments) and how to use Work Time on the mobile app.
Work Time informs people at each step of an absence request by email, in the in-app notifications, and by push notification on the mobile app. This page lists who receives what, and what you can do from the OpenAleph mobile app. For notifications and the mobile app in general, see Notifications and Mobile app.
Emails and notifications
| Event | Who is notified | Email subject | What it contains |
|---|---|---|---|
| A member submits a request | Their direct manager | "Absence Request Pending: (name)" | Dates, absence types and a Go to absence request link to approve, reject or cancel it. |
| A request is approved, rejected or canceled by a manager or admin | The member | "Absence Request Approved / Rejected / Canceled: (dates)" | Dates, types, the manager's message if any, and a Go to absence request link. |
| A member cancels their own pending request | Their direct manager and their reference contact | "Cancelation - Absence Request: (name)" | Dates and types; the request is removed from pending requests. |
| An admin adds an absence on behalf of a member | The member | "Mandatory absence: (dates)" | Dates and types. |
| An admin adjusts a balance | The member | "Absence types balance updated" | Policy, amount and effective date. |
The in-app and push notifications use the titles New absence request, Absence request approved, Absence request rejected, Absence request canceled, New absence added and Leave balance updated. Emails are sent in the recipient's language.
Note: Only the direct manager is notified of a new request. If a member has no manager set in their profile, nobody receives the request by email: admins can still see it in Work Time › Requests. Make sure every member has a manager in People.
Work Time on the mobile app
The OpenAleph mobile app includes Work Time. Open the Apps tab and tap Worktime. The hub shows:
| Card | Who sees it | What you can do |
|---|---|---|
| My Calendar ("Your balances, absences and requests") | Everyone | See your leave balances, your absences and holidays on a month calendar or a list, and your request history. Tap Request absence to submit a request: duration, dates, day parts, allocation of the days across your leave types, reference contact, comment and attachment (photo or PDF, up to 5 MB). Open a request to see its details or cancel it while it's pending. |
| Planning ("See who is off across your team") | Everyone | See who is off each day, with the same visibility rules as on the web. |
| Requests ("Review and approve time-off requests") | Managers and above | The approval queue with the Pending, Approved, Rejected and Canceled tabs and a badge with the number of pending requests. Approve, reject or cancel a request, with an optional message for the employee. |
Tapping a push notification opens the right screen: your calendar for a decision, an imposed absence or a balance update, and the request itself in Requests for a new request or a cancelation.
Configuration (absence types, policies, schedules, holidays) and exports are only available on the web app.
