Access levels

The five OpenAleph access levels (Employee, Manager, Manager creator, Scoped admin, Admin), what each can do per module, and how an admin changes them.

Who can do thisAdmin

Every member of OpenAleph has one Access level. It decides which menus they see in the navigation, which pages they can open and what they can create, edit, launch or export in each module. This page explains each level, gives a detailed permission matrix per module and shows how to change a member's level.

The access levels

Employee Every member by default. Answers their interviews, follows trainings, manages their own goals and requests. "Access limited to own profile"
Manager People who manage a team. Adds team views: team interviews, team goals, leave requests, company skills matrix. "Access limited to own profile and direct and extended team (N-X)"
Manager creator Managers (or HR partners) who also build content: interview, feedback, team survey and skills campaigns and templates, training content, goals. Same as Manager
Scoped admin Admins whose rights apply to a population only, for example one country, one business unit or one site. Members of their perimeter, plus their own reporting line. See Scoped admins and perimeters.
Admin HR team and platform owners. Full administration of the company. "Access to all members"

The levels are cumulative: each level can do everything the levels above it in the table can do (a Manager creator can do everything a Manager can, and so on), with the scoped admin exceptions listed below.

Note: A Super admin level also exists. It is set up by OpenAleph and cannot be assigned from the app or through the API, not even by another Super admin (Super admins see the option in the list, but saving it is refused). Inside your company it has the same rights as Admin.

Note: A manager is someone who has members reporting to them. A member who still has direct reports cannot be set back to Employee: reassign their reports first.

What each level sees in the navigation

The main menu shows Home, an Apps section (the modules your company has) and a Company section (People, Settings). Entries only appear if the module is enabled for your company (see Modules and licences) and if your level allows it.

If someone opens a page their level does not allow (for example from a shared link), they see the Restricted Access page with a Back to homepage button.

Permission matrix by module

"Own" means content the person created, owns, or co-pilots. "Perimeter" means members of the scoped admin's population and content owned by them.

Important: When your company's members are synchronised from an HRIS, adding, importing, editing, deactivating and restoring members is disabled for everyone in OpenAleph. The HRIS becomes the source of truth. See Integrations and HR data sync.

Change a member's access level

Before you start

You must be an Admin. Scoped admins can edit members of their perimeter but cannot change access levels.

For one member

  1. Go to People › Members.
  2. Click the pencil icon at the end of the member's row (or open their profile and click Edit on the General section). The Profile details window opens.
  3. In the Access level field, choose Employee, Manager, Manager creator, Scoped admin or Admin. A short description under the field reminds you of the reach of that level (for example "Access limited to own profile" or "Access to all members").
  4. If you choose Scoped admin, define their perimeter in the Scope tab (see Scoped admins and perimeters).
  5. Click Save. The change applies immediately: the next time the member loads a page, their menu reflects the new level. If the member still has direct reports and you chose Employee, the save is refused with "cannot be set to employee while this user still manages other members".

For several members at once

  1. Go to People › Members and tick the members to update.
  2. Click Manage access levels.
  3. Choose the new Access level (and the perimeter if you choose Scoped admin), then confirm.

You can also set the access level when you create a member with Add member. When a member is created without choosing a level, they are an Employee.

Common questions

A manager doesn't see "Campaigns" in Interview. Why?

Creating campaigns requires Manager creator or above. A plain Manager only sees My interviews and Team Interviews. Change their level to Manager creator.

I can't select "Employee" for someone.

That member still has people reporting to them. Assign those reports to another manager first, then change the level.

Can a scoped admin promote someone to admin?

No. Only admins can change access levels and perimeters.

Can I make someone Super admin?

No. Super admin is set up by OpenAleph and can't be granted from the app. Admin is the highest level you can give, and you can have as many admins as you need.

I changed a level but the person still sees the old menu.

Ask them to reload the page. If your members are synchronised from your HRIS, the access level may be overwritten by the next daily sync: change it in the HRIS feed instead.
