Log in to OpenAleph

How to log in for the first time, sign in with email and password, Google or Microsoft, reset a forgotten password and choose a workspace.

You log in to OpenAleph with your work email address. You can use a password that OpenAleph emails you on your first login, or sign in with your Google or Microsoft account if your email is a Google or Microsoft work account. This page covers every screen of the login flow on the web. For the phone app, see Mobile app.

Before you start

  • Your account must have been created by your company's admin. You can't sign up on your own.
  • Your account must be active. A deactivated account can't log in (see Troubleshooting).
  • You usually receive an invitation email titled "👋 Invitation to join [your company] in OpenAleph". It reminds you which email to use and contains a Log in to OpenAleph link. You can also go straight to the OpenAleph login page.

Log in for the first time

On your first login you don't have a password yet. OpenAleph generates one and emails it to you.

  1. Open the login page (or click Log in to OpenAleph in the invitation email).
  2. On the Log in screen ("Continue to OpenAleph"), type your work email in Email.
  3. Click Continue with email.
  4. OpenAleph detects that it's your first login and shows Check your mail 📩: "This is the first time you log in to OpenAleph. We just sent an email with your password to the address...". A Back to login link at the top of the screen takes you back to the email step.
  5. Open the email titled "Your OpenAleph password". It contains your generated password (a long string of letters and digits). Copy it carefully.
  6. Click Back to log in in the email (or go back to the login page), enter your email again, click Continue with email, then type the password from the email and click Log in.

Important: each time you click Send it again, OpenAleph generates a new password and sends a new email. Only the most recent password works. The button is disabled for 60 seconds after each sending.

Tip: you can change the generated password at any time from your profile (Profile › Settings › Change password). See Profile and preferences.

If the email doesn't arrive after a few minutes, check your spam or junk folder, then click Send it again.

Log in with your email and password

  1. On the Log in screen, type your email and click Continue with email.
  2. The Welcome back screen appears ("Enter your password to continue").
  3. Type your password in Password. Click the eye icon to show or hide it.
  4. Click Log in (or press Enter).

If the email or password is wrong, OpenAleph shows "Email or password incorrect. Please try again." and highlights both fields. If you click Forgot? with an email that doesn't match an active account, you see "This email is not recognized. Please try again."

To use another address, click Use a different email under "Not your account?".

Log in with Google or Microsoft

If your work email is a Google Workspace or Microsoft (Entra ID / Office 365) account, you can skip the password.

  1. On the Log in screen, click Continue with Google or Continue with Microsoft.
  2. Choose or sign in to your Google or Microsoft account in the window that opens.
  3. You are sent back to OpenAleph, already logged in.

Note: the Google or Microsoft account must use the same email address as your OpenAleph account. If no active OpenAleph account matches it, you are sent back to the login screen with "Email not found. Please check and try again." If the account exists but is deactivated, you see "Your account is not active or is not associated with a company."

Tip: if you opened a link to a specific page (for example from an email) before logging in, OpenAleph takes you to that page once you are logged in, including after a Google or Microsoft sign-in.

Forgot your password

  1. On the Log in screen, enter your email and click Continue with email.
  2. On the Welcome back screen, click Forgot? next to Password.
  3. The Check your mail 📩 screen confirms: "We just sent an email to reset your password to the address...".
  4. Open the email titled "Reset your password" and click Reset password.
  5. On the Create password screen ("Please type and confirm your new password."), type your new password in Password and again in Confirm password. It must contain at least 8 characters: a shorter password shows "Password must contain at least 8 characters", and two different entries show "Password fields aren't the same".
  6. Click Reset password. You are sent back to the Log in screen with the message "Your password has been reset". Log in with your new password.

Note: as soon as you click Forgot?, OpenAleph logs you out of every browser and device where you were logged in, including the mobile app, even before you choose the new password. The same happens when a first-login password is sent to you.

If you didn't receive the email, check your spam folder or click Send it again (available after 60 seconds). Use the link in the most recent email only: requesting a new reset replaces the previous link.

"Oops, it seems this email is not registered 🧐"

This screen appears when OpenAleph can't find an active account with the email you typed. It says "You may have miswritten your email, please try again." and shows the email you typed.

  1. Check the spelling of your email (typos, old address, personal email instead of work email).
  2. Click Try again. You go back to the Log in screen with your email already filled in: correct it and click Continue with email.

If the address is correct, your account may not exist yet or may have been deactivated. Contact your company's OpenAleph admin. Admins can check the member's status in People › Members (see Members directory).

Choose a workspace

Most people belong to a single company and land directly on the home page after logging in. If you have access to several spaces, the Where would you like to go? screen appears: "We detected multiple workspaces linked to your account. Choose one to continue." A chip at the top shows who you are signed in as ("Signed in as"). If it isn't you, click Sign out next to "Not you?" at the bottom of the screen.

The spaces are grouped in two lists:

Group What it contains What happens when you click it
Internal access Your own company (badge Internal, "Full OpenAleph suite"). Opens the full OpenAleph app on the home page.
External access The Academy spaces of other organisations that invited you to follow their trainings. The badge shows your scope (for example Learner). Opens that organisation's Academy.

To change space later, click your avatar at the top right and choose Switch workspace. This option appears only if you have more than one space.

Note: a person who only has external access (no company account) always goes through this screen and can only enter Academy spaces.

Log out

  1. Click your avatar at the top right of the screen.
  2. Click Logout.

On a shared computer, always log out when you are done. OpenAleph doesn't log you out automatically after a period of inactivity.

Common questions

I didn't receive my password or reset email. What should I do?

Check your spam or junk folder and any email filtering rules. Wait a minute, then click Send it again. If nothing arrives, ask your admin to check that your email address is spelled correctly on your OpenAleph profile. Some company email filters block automatic emails: your IT team can allow emails from OpenAleph.

The password from the email doesn't work.

You probably requested it several times. Only the latest email is valid, because each sending generates a new password. Use the most recent one, and copy it carefully (no extra spaces).

Can I sign in with Google if my company uses Microsoft (or the reverse)?

Use the provider that manages your work email. The Google or Microsoft account must have exactly the same email as your OpenAleph account.

Does "Continue with Microsoft" need to be set up by my company?

The button is available on the login screen for everyone. Whether your Microsoft account can use it depends on your organisation's Microsoft settings. If your IT department blocks third-party sign-in, use your email and password instead.

I see "Your account is not active or is not associated with a company."

Your account exists but was deactivated (for example after leaving the company), or it isn't attached to a company. Contact your admin.

I'm an admin. Where are sign-in options and invitations managed?

My time zone looks wrong.

OpenAleph records your browser's time zone each time you log in with your email and password. Check your computer's time zone settings, then log out and log in again.
