People (Core HR)
People is the Core HR module of OpenAleph - member profiles, organization chart, teams, the members directory, imports, invitations and external users.
People is the Core HR foundation of OpenAleph. It holds one profile per member of your company (identity, access level, manager and every HR attribute your company tracks), draws the reporting lines between people, and feeds every other module: interview campaigns, trainings, skills reviews, goals, surveys and work time all rely on who is in the company and who reports to whom.
You find it in the left menu, under the Company heading, as People. Depending on your access level, it contains up to four pages: Organization Chart, My team, Members and External users. Your own profile is always one click away from your avatar (top right), menu Profile.
Key concepts
| Term | Meaning |

| Member | A person with an OpenAleph account in your company. Each member has a profile, an access level and, usually, a manager. |
| Profile | The member's page: photo, identity, all their HR attributes and a dashboard of their interviews, skills reviews, trainings and goals. |
| Access level | The member's role in OpenAleph: Employee, Manager, Manager creator, Scoped admin, Admin or Super admin. It decides what they can see and do. See Roles and access levels and, for admins, Access levels. |
| Manager | The person a member reports to. Only members with the Manager access level or above can be chosen as a manager. |
| Direct team / Extended team | A manager's direct reports (N-1), and everyone below them in the hierarchy (N-1, N-2, N-3...). |
| Company employee UID | Your company's own unique identifier for a member (payroll or HRIS number, for instance). It is required and is used to match people during imports. |
| People attributes | The fields of the profile, grouped in sections (General, Personal information, Employment information and any custom section). Admins configure them in Settings, see People attributes. |
| Invitation status | Where the member stands with their account: Not invited, Invited, Active (has logged in at least once) or Inactive (deactivated). See Members directory. |
| Deactivation | Removing a member's access without deleting their data. Members are never deleted; they can be restored at any time. |
| External user | A person outside your company (partner, client, freelancer) invited to follow trainings in an external workspace. They have no Core HR profile. |

Note: If your company's member data is synchronised automatically from its HR information system (HRIS), members are created, updated and deactivated by that synchronisation. In that case the add, import, edit and deactivate actions are hidden in OpenAleph and changes must be made in your HRIS. See Integrations.

Typical workflow
- An admin sets up the profile structure: which attributes exist, which sections, which organisation units (departments, sites...). See People attributes.
- The admin brings members in: one by one with Add member, all at once with Import members, or automatically through an HRIS integration.
- Reporting lines are set: each member gets a manager. Managers automatically see their team in My team and on the Organization Chart, and receive an email each time a new member is assigned to them.
- Members are invited: the admin sends the invitation email (at creation, at import or later from the Members list). The member logs in for the first time (see Log in to OpenAleph) and their status becomes Active.
- Everyone keeps profiles up to date: members complete their own information, admins maintain HR data. Every change is recorded in the profile history.
- Other modules use the data: campaigns and trainings target people by manager, department, job title or any attribute; managers follow their team's interviews, trainings and goals from the profile dashboard.
- When someone leaves, the admin deactivates them with a departure date. Their history is kept and they can be restored later.
Mobile app
In the OpenAleph mobile app, the Profile tab lets every member read their Profile details (all their sections, read only), change or remove their photo, change the app language and their password, and log out. The Members directory, the Organization Chart, My team and external users are available on the web app only.
