Visibility and permissions
Who can see OKRs, who can create and edit plans, objectives and key results, how to manage owners and assignees, and which emails are sent.
OKRs are meant to be transparent: everyone in the company can see every plan, objective and Key Result. What you can change depends on your role and on whether you are owner, assignee or creator of an item or of one of its parents.
Who sees what
- Everyone with access to the OKR module sees all OKR plans in OKRs › OKR Plans and all objectives in OKRs › Objectives and KRs.
- Show only my OKRs (on by default on Objectives and KRs) narrows the list to objectives where you are owner or assignee of the plan, the objective, one of its Key Results or child Key Results. Turn it off to see everything.
- The home page lists your own current and upcoming Key Results (as owner or assignee).
- OKRs are not available in the mobile app.
Who can do what
Access levels are described in Access levels. In OKRs, scoped admins are not limited to their perimeter: they can edit every plan, objective and Key Result, like admins (see Scoped admins and perimeters).
| Action | Who |
|---|---|
| Create an OKR plan | Manager creators, scoped admins, admins, super admins |
| Edit a plan, change its status, archive, unarchive, delete it, manage its assignees | Its owner, assignees and creator; scoped admins and admins |
| Create an objective in a plan | Owner, assignees or creator of the plan; admins. Not in an archived plan. |
| Edit, finish, delete an objective, manage its assignees | Owner, assignees or creator of the objective or of its plan; scoped admins and admins |
| Create a Key Result or child KR | Owner, assignees or creator of the objective, plan or parent KR; admins. Not under an archived item. |
| Edit, update the value, finish, delete a Key Result, manage its assignees | Owner, assignees or creator of the KR or of any of its parents (parent KR, objective, plan); scoped admins and admins |
| Comment | Anyone who can open the item |
| Delete a comment | Its author, the owner of the item, admins |
Buttons and menu entries you are not allowed to use are hidden.
Owners
Every plan, objective and Key Result has exactly one owner, the accountable person (shown as Person in charge on plan and KR headers, Owner in lists and forms). The owner is chosen in the create or edit form and defaults to you (for KRs, to the owner of the objective or parent KR). The new owner is emailed when the owner changes.
Manage assignees
Assignees are the contributors of a plan, of an Organisation objective, or of a KR of an Organisation objective.
- Open the item's menu (More menu on a plan or KR page, three-dot menu on an objective or KR card) and choose Manage Assignees.
- In Manage assignees, select people in the list (search and filters are available).
- For an objective or a KR, tick Include assignees from parent. to add the assignees of the plan (or objective) as well.
- Click Continue.
- Choose whether to email the new assignees: Send invitation emails? › Yes, send emails or No.
Individual objectives (and their KRs) can't have assignees. Archived items can't be changed.

Common questions
Can I hide an OKR from other employees?
No. All OKRs are visible to everyone in the company who has access to the module.
I'm an assignee but I didn't get an email.
Emails to assignees are only sent if the person who added you chose Yes, send emails, and only once the item is current.
Why can't I edit an objective I can see?
You need to be its owner, an assignee or its creator, or be involved in its plan, or be an admin. Ask the plan owner to add you as an assignee.
Can a manager edit their team's OKRs automatically?
No. OKR rights don't follow the reporting line. A manager needs to be owner, assignee or creator of the item or one of its parents.
