My calendar
Use Work Time › My Calendar to see your absences and holidays, check your leave balances, estimate a future balance and review your request history.
My Calendar is your personal Work Time page. It shows your absences and the company holidays on a calendar, your current leave balances, and the full history of your absence requests. Everyone with access to the Work Time module has this page.
Open your calendar
- In the sidebar, go to Work Time › My Calendar (clicking Work Time opens this page directly).
- The page header reads My Calendar with the subtitle "Manage your absences, view your availability, and track your remaining balance."
- Two tabs are available: Calendar (default) and History & Requests.
- The Request absence button is at the top right on desktop. On a phone-sized screen it becomes a floating button at the bottom right of the screen.
The Calendar tab
The Calendar tab has two blocks: the Leave Balance card and the calendar itself.
Leave Balance card
The card lists every balanced policy you are currently assigned to (for example "Paid leave 2025 - 2026" or "RTT"). For each one you see:
- a colour bar matching the absence type,
- the policy name and, below it, the period (when the name ends with a year or a year range) and the counting unit (worked days, open days or calendar days),
- your current balance, on the right.
Unbalanced absence types (for example sick leave) have no balance, so they don't appear here.
Click the information icon next to Leave Balance to open the detailed balance window (see below).
The calendar
The calendar shows:
- your Pending and Approved absences, as coloured bars named after the policy, with their duration. Pending absences are hatched ("Awaiting approval"). Rejected and canceled requests are not shown.
- the company holidays ("Public holiday").
- your non-working days or half-days, according to the company schedule you follow (by default, Saturday and Sunday).
Use the header controls to navigate:

| Today | Go back to the current month. |
| Year | Overview of the 12 months. Click a month to open it in Month view. |
| Month | Classic month grid, split into morning and afternoon half-days. |
| List | Chronological list of the absences and holidays of the month, with an Awaiting approval or Approved tag. If there is nothing, it reads "No leave to show for this month." |
Request an absence from the calendar
In Month view you can select days directly on the grid:
- Press on the first half-day of your absence (morning or afternoon) and drag to the last half-day, then release.
- The Absence Request window opens with the dates and day parts already filled in.
- Complete and submit the request as described in Request time off.
Only working half-days can be selected. Closing the window without submitting clears the selection.
Open a request
Click an absence bar to open its Absence Request summary: requester, reference contact, dates and day parts, duration, status, the days taken from each policy, your description, the manager's message and the attachment. From this window you can:
- Add attachment if the request has none yet (JPG, JPEG, PNG or PDF).
- Cancel request, only while the request is Pending. See Request time off.
Detailed balance window
Click the information icon next to Leave Balance. The Leave Balance window lists each of your policies with four figures:

| Current balance | Days available today: everything credited so far minus the approved absences already deducted. |
| Day booked | Days already used through approved absences up to the selected date. |
| To be accrued | Days that will still be credited between today and the selected date, according to the policy. |
| Estimated balance | What you will have at the selected date: current balance plus the days to be accrued. |
Use the Before field at the top to choose the date of the estimate: End of the current month or any of the next 12 months. This is useful before booking a long holiday.
If a policy has an expiry date, its card shows "To use before" followed by the date: the remaining days are lost after that date.
Each card also has a history icon, "Export this policy's balance history". Click it to download an Excel file of every movement on that policy (see Balances and exports).
If the window says "No policies assigned to this user.", you have not been assigned to any balanced policy yet; ask your HR admin.
The History & Requests tab
This tab lists all your absence requests, whatever their status, in a table:

Use Search to find a request by its description, and the filters to narrow the list by Requested on, Status, Start date or End date. When you have no request yet the table reads "Nothing to show for now – All requests will show up here."
Common questions
My balance looks wrong. Why?
The balance only moves when a request is approved: pending requests don't change it (they are however taken into account when you submit a new request, so you can't book the same days twice). Check also the To be accrued figure: if your policy credits days at the end of the month, this month's days are not in the current balance yet. If the figures still look wrong, your admin can export your balance history and correct it with a manual adjustment.
A policy I used to have is missing from the Leave Balance card.
The card only shows the policies you are currently assigned to. When an assignment ends or a policy expires, it disappears from the card. Your past requests stay in History & Requests.
Why can't I select Saturday on the calendar?
Days that are not worked in your schedule can't be selected. If you work on Saturdays, ask your admin to assign you to the right company schedule.
Can other people see my absences?
Your colleagues see in the planning that you are absent, without the type of absence. Your manager (and anyone above them in the reporting line) and admins see the details.
