Track the progress of an interview campaign

Read the Overview tab of an OpenAleph interview campaign - completion rate, interview sets completion, per-step progress and comparison by categories.

The Overview tab of a campaign gives you a real-time view of how far participants and interviewers are, so you know who to remind before the deadline.

Before you start

Permissions: Available to the campaign creator, its co-pilots, Scoped admins (for campaigns in their scope) and Admins. The Overview tab only exists for launched campaigns; a scheduled campaign has no interviews yet.

Open the overview

  1. Go to Interview › Campaigns and click the campaign in the Current tab.
  2. The campaign opens on the Overview tab.

Progress report

The Progress report block shows four figures:

Figure Meaning
Completion rate Percentage of interviews submitted, out of all the interviews of the campaign (each IE, IR and CR part counts, including cross reviews that are not available yet). This is the same percentage as the Completion column of the campaigns list.
Participants Number of interviewees in the campaign.
Interviews in progress Number of interview sets where at least one part has been started or submitted, but not all.
Interviews submitted Number of interview sets where every part is submitted.

Interview sets completion - All

"Quick view of your campaign completion": a chart splitting interview sets between Submitted, In progress and Not started. A set is Submitted when all its parts are submitted, Not started when none of them has been opened.

Interview sets completion - Individual

"Completion of each steps of the interview": a bar chart with one group per step (Interviewee, Interviewer, Cross), showing how many parts are Not started, In progress, Submitted or, for cross reviews, Not available yet (waiting for both sides to submit). Use it to see whether the bottleneck is on the employees' side, the managers' side or the cross reviews.

Interview completion - Category

"Compare completion by categories": choose a Field (Job title by default, or one of your company's profile fields, such as department, site or country) to compare the completion of each value of that field. Useful to spot teams or sites that are late. Profile fields are set up by your admins, see People attributes.

Follow up individual participants

Switch to Participants & answers to see, for each participant, the status of their IE, IR and CR parts:

  1. Filter by Completion to list the late interviews, or by Person in charge to see a manager's pending interviews.
  2. Select the rows and use Send notifications › Send reminder email, or send a reminder from a row menu.
  3. Click a row to open the Interview set and View answers of submitted parts.

Status reference

Status Colour Meaning
Not started Red Nobody opened this part yet.
In progress Orange The respondent opened it; answers are saved as they type.
Submitted Green Submitted and locked.
Not available yet Neutral (info) Cross review waiting for both the interviewee and the interviewer to submit.

An interview is moved from In progress to Submitted only by its respondent clicking Submit, or by an Admin force-submitting it.

Common questions

The completion rate doesn't match the number of participants who finished.

The Completion rate counts every part (IE, IR, CR) separately, while Interviews submitted counts complete interview sets. A campaign where all employees submitted but no manager did is around 50% complete for a Both template.

Why does a cross review stay "Not available yet"?

Both the interviewee and the interviewer must submit their parts first. Check which one is missing in Participants & answers.

Can I get these figures in Excel?

Yes, with the Progress export. See Exports and PDF.
