Results and exports
Analyse a skills review cycle - progress report, charts, results grouped by skill category, analysis panel, editing answers, and XLSX and PDF exports.
Each review cycle has its own analytics: a progress report with charts, a results table grouped by skill category, a detailed analysis panel per reviewee and several exports. Open the cycle from Skills › Reviews (see Manage a review cycle), then use the Overview and Results tabs.
Before you start
- The cycle page is available to the cycle creator, its co-pilots, scoped admins (cycles run by their population) and admins, from the Manager creator role up.
- Scoped admins only see the reviewees of their population in the results.
- Scores only take submitted reviews into account.
Overview tab
Progress report
Four figures at the top: Completion rate, Reviewees, Reviews in progress and Reviews submitted.
Charts
| Chart | What it shows |
|---|---|
| Reviews sets completion - All | How many reviews are Submitted, In progress and Not started. |
| Review completion - Category | Completion compared by the values of a profile field. Choose the field in Attribute (for example department, location or job title). |
| How each ... was scored | The average score for each value of the chosen Attribute, out of the cycle's scale ("mixed scales" when the cycle uses templates with different scales). |
| People per box | How the reviewees are spread across the four boxes of the talent matrix. Shown once the 4-box is configured. |
| Team score over time | The average score of the people reviewed in this cycle, in this cycle and in their previous cycles. If none of them was scored before, Nothing to compare yet is shown. |
Skill summary table
The Skill summary table lists every skill of the cycle with its Population (number of reviewees rated on it) and the share of each rating. Search a skill by name, or narrow the table by Skill category, Job titles or another profile field (See more shows the other fields). Click a row to open Skills summary details: every rating given on that skill, with the Participant, the Reviewer, the Rating and the Date of rating. You can filter it by Access level, Gender or Manager.
Results tab
The Results tab shows one row per reviewee:
- Reviewee (pinned on the left when you scroll), with the number of submitted reviews out of the total under the name (for example "1/2 Reviews"),
- the two 4-box axis scores, named after the axes of the cycle's matrix (for example Performance and Potential), as percentages, and the Box label. Until the 4-box is configured, these three columns show Not set yet,
- then one column per question. Questions are grouped by skill category: a header row above the columns names each category, in the framework's order. The True/False and next-job-title questions are grouped under Conclusion.
Cell values:
| Value | Meaning |
|---|---|
| A rating such as "4/5" | The rating out of the scale's maximum (average when several reviewers submitted). |
| True / False, a job title | The answer to a conclusion question. |
| Not submitted | No submitted review yet for this person. |
| Not applied | The question is not part of this person's form (for example a job-specific skill for another job title). |
Use the Job title list above the table to show only the reviewees and the questions of one or more job titles. Use Search to find a person, the rows-per-page selector, and Filter to narrow the table by Manager, by any profile field (for example job title: only the questions that apply to the selected job titles are then shown as columns), or by the dominant answer to the True/False question.
Analysis details panel
Click a person on the 4-Box matrix tab (or a row of the Results tab) to open the Analysis details panel on the right. The icon next to the close cross opens it in a full page.
- The reviewee's name and job title, and arrows to go to the previous or next reviewee.
- The reviewer, or the list of Reviewers to switch from one review to another.
- The answers of the selected review, grouped by skill category, with comments.
- Related: the goals of the reviewee linked to this cycle. Click Edit related to choose them in Set related items.
- Create new goal (if your company has the Goals app), View answers to open the full review page, and Edit answers.
- If the selected review isn't submitted: Review not submitted yet and a Send reminder button that emails the reviewer.
Edit the answers of a submitted review
- In Analysis details, select the review and click Edit answers.
- Change the ratings, comments or conclusion answers (the True/False question is shown as Yes / No in this mode).
- Click Save changes (or Cancel).
The review then shows Edited by with the name of the person and the date. This is how a submitted, locked review is corrected.
Exports
Cycle exports
- On the cycle page, click the export icon (Export to .xlsx) in the top bar.
- In Export data, choose the Export type. The window shows the File format of the selected type:
| Type | Description in the window | Content | Format |
|---|---|---|---|
| Progress (default) | "Monitor campaign completion" | Completion of each review, to monitor the cycle. | XLSX |
| Answers | "Focus on responses and insights" | Every answer and score, to analyse responses. Columns follow the framework order. | XLSX |
| Overview | "The progress report and its charts, as a document" | The progress report and its charts, with the attributes currently selected in the charts. |
- Click Export. The file downloads automatically after a few seconds; you can close the message in the meantime.
Other exports
- Talent matrix: Export › Export PDF or Export Excel on the 4-Box matrix tab or the company matrix (see Talent matrix).
- One review: Download pdf on the review page.
- Exports of other modules and company data are listed in Exports and reports.
Skills reviews on a profile
On an employee's profile (see Employee profile), the Skills reviews tab shows Reviews in progress and Total reviews and lists the reviews about that person in launched cycles. Click one to open it (all answers when you are allowed to see them). Employees viewing their own profile only see their self-reviews; managers, scoped admins and admins with access to the person see all of them.
Common questions
Why is a reviewee's score empty?
Scores only count submitted reviews. Check the Reviewees tab to see who hasn't submitted, and send a reminder.
Why do Performance, Potential and Box label show "Not set yet"?
The cycle's 4-box matrix isn't configured yet. Set it up in the 4-Box matrix tab.
Why do I see "Not applied" in some columns?
The person's form didn't contain that question, usually because the skill is assigned to another job title, or because the cycle uses several templates.
A scoped admin sees fewer reviewees than an admin.
That's expected: scoped admins only see the reviewees of their population.
How are scores calculated?
Each rating is converted to a percentage of the scale's maximum, then averaged using the skills' weights from the framework. The 4-box axes use the skills of the categories assigned to each axis.
