Translate an interview template
Add languages to an interview template, translate it with AI or with an Excel file, and let participants answer and download PDFs in their language.
An interview template can be offered in several languages. The template creator adds languages in the Template translation window, then translates each language with AI or by filling in an Excel file. Participants can then switch the interview to one of these languages, and choose the language of the PDF they download. The interface language (menus, buttons, emails) is separate: each member chooses it in their profile. See Translating content and Profile and preferences.
Before you start
Open the translation manager
- Go to Interview › Templates and open the template.
- In the editor top bar, click the translate icon (the first icon on the right).
- The Template translation window opens. It lists:
- Source language: the language the template was written in, with the Source tag.
- One row per added language, with its status and actions in the Status & Actions column.

Add a language
- Click Add Language.
- Pick a language in the list (English, Deutsch, French, Italian, Spanish, Swedish). Languages already added are greyed out.
- The language is added with the status Translation missing, and four action icons appear on its row: Translate with AI, Download translation, Upload translation and Delete language.
Translation statuses

| Translation missing | The language was added but not translated yet, or the template was changed after it was translated (for example a question was added or edited). |
| Translating with AI... | An AI translation is running. |
| Uploading... | An Excel translation file is being imported. |
| Error | The import or the translation failed. Try again. |
| Translated | All texts are translated. |
Status tags are always displayed in English, whatever your interface language.
Translate with AI
- On the language row, click the sparkles icon (Translate with AI).
- The status changes to Translating with AI... and all the buttons are disabled while it runs.
- When it is done (usually a few seconds for a short template), the status becomes Translated.
Tip: AI translation is a starting point. Download the translation file afterwards to check the wording, especially for HR vocabulary specific to your company.
Translate with an Excel file
- On the language row, click the download icon (Download translation). You get an .xlsx file named after the template and the language code, listing every text of the template (title, description, chapters, questions, descriptions, answer options) with its source text.
- Fill in the translation column in the file. Do not change the identifiers.
- Back in the window, click the upload icon (Upload translation) on the same language row and select your file.
- The status shows Uploading..., then Translated once the import succeeds, or an error if the file could not be read.
Delete a language
Click the trash icon (Delete language) on the row. The language is removed from the template; participants can no longer choose it.
What participants see
- When the template used by the campaign has at least one language with the Translated status, a translate icon (Translate interview) appears in the top bar of the interview page. Clicking it opens a window listing the available languages ("These are all the languages available for this interview. The following translation(s) were managed by the template creator."). The participant picks a language and clicks Apply; questions and options are displayed in that language.
- When downloading a PDF of the interview, the same language choice is offered.
- The template preview also lets you switch between languages.
Answers are stored as typed: translating the interview changes the questions' language, not the answers already given.
Common questions
The translate icon is missing in the editor.
It is hidden when the template is deleted, and only people who can edit the template can open the editor. Restore the template or ask its creator.
A language went back to "Translation missing".
You edited the template after translating it (for example you added a question). Download the file and complete the new texts, or run the AI translation again.
Do launched campaigns get my new translations?
A launched campaign uses the snapshot of the template taken at launch, including the translations available at that time. New translations apply to campaigns launched afterwards.
After launching a campaign, my languages show "Translation missing".
Launching a campaign creates a version of the template, and the language statuses can go back to Translation missing. Participants can only switch to a language that is Translated in the version used by their campaign. Open the Template translation window after launch, check the statuses and translate again if needed so the next campaigns get the languages.
