Create a Feedback 360 campaign
Step-by-step guide to the Feedback 360 campaign wizard: title and period, participants and their options, person in charge, templates, summary and launch.
A Feedback 360 campaign is created with a five-step wizard in Feedback › Campaigns. Your answers are saved as a draft at every step, so you can stop and resume later. This page describes every step and option, then what happens at launch.
Before you start
- You need the Manager creator, Scoped admin, Admin or Super admin role.
- At least one template must exist in Feedback › Templates (see Templates).
- Decide in advance: who is reviewed, who chooses the reviewers, whether reviewees must self-evaluate and whether they may read their reviewers' answers. These choices can't be changed once the campaign is launched.
Start the wizard
- Go to Feedback › Campaigns.
- Click New campaign.
- If you already have an unfinished draft, the window Create campaign from draft? asks what to do:
- Yes, resume draft reopens the draft at the step where you left it;
- No deletes that draft and starts from scratch.
You can only have one draft at a time, and a step is saved in the draft when you click Next (people ticked on the Participants step are kept only once you have moved on). The wizard is titled Create a campaign; a timeline on the left (on large screens) shows the steps. Use Next and Previous to move between steps. Closing the wizard shows Campaign draft saved: the draft is kept and you resume it with New campaign.
Step 1: Basic settings
| Field | Details |
|---|---|
| Campaign title* | The name reviewers and reviewees will see on their dashboard and in emails. |
| Campaign period* | Pick a start date and an end date in the calendar, then click OK. The end date is the campaign Deadline. Dates in the past can't be selected. |
Both fields are required: without them, Next shows "Please fill all required fields (*)."
Tip: If the start date is today, the campaign starts as soon as you launch it. If it is later, the campaign is scheduled and starts automatically on that date.
Step 2: Participants
Select the people who will be reviewed (the reviewees). The text reminds you: "Selected participants are set as reviewees. They will receive feedback from their reviewers."
- Use the search field and the filters (Access level, Manager, Gender, Hire date, Job title and your company's profile fields, such as Work location or Contract type) to find people. The table shows Member (name and email), Job title, Manager and the profile fields.
- Tick the people to include, or select everyone matching your search. The number selected is shown above the table ("n items selected").
- At least one participant is required.
Then set the Participants settings:
| Switch | When on | When off (default) |
|---|---|---|
| Participants can choose their reviewers | Each reviewee can add and remove their own reviewers, and receives an email inviting them to do so. | "If this option is disabled, only the person in charge can manage reviewers." (Campaign managers and admins can too.) |
| Participants can view reviewers answers | Each reviewee can read the answers of every reviewer who submitted, with the reviewer's name. They are also emailed each time a reviewer submits. | "If this option is disabled, only the person in charge can view reviewers answers." (Plus the reviewee's managers, the campaign managers and admins.) |
| Participants have to self-evaluate | "If this option is enabled, the reviewers list includes the participant too": a self-review is created for each reviewee, who answers the same questionnaire about themselves. | No self-review. |
| Assign reviewers randomly (tagged New) | "The system automatically selects reviewers per participant from their peers, manager (N+1), and direct reports (N-1)." OpenAleph picks reviewers for each participant at launch (see below). | Reviewers are added by hand. |
When Assign reviewers randomly is on, set Number of reviewers per participant (1 to 5, default 3). The chips Peers, Manager (N+1) and Direct reports (N-1) remind you of the order: reviewers are drawn first from the reviewee's peers, then their manager, then their direct reports, until the number is reached. If someone has fewer available connections, only those are assigned; people with no peers, manager or direct reports in OpenAleph get no automatic reviewers. More details in Choose reviewers.
Step 3: Person in charge
The person in charge follows each reviewee's feedback: "The person in charge can monitor the interview progress and view reviewers' answers. Once the campaign starts, they can assign and manage reviewers for each reviewee." They also send reminders.
| Option | Meaning |
|---|---|
| Manager | "Participant's direct manager is in charge of the interview." Also fill Default person in charge*: "Participants without a direct manager are assigned a default person in charge." |
| Specific person | "One person is in charge of all the campaign's interviews." Choose them in Select person in charge › Person in charge*. |
The person field is required in both cases. The list offers the company's managers. You can change the person in charge of any reviewee after launch (see Manage a campaign).
Step 4: Template(s)
Choose the questionnaire. A link to the templates page lets you create a template: the draft is saved and you can come back to it later.
| Mode | Use it when |
|---|---|
| Single template | Everyone is reviewed with the same questionnaire. Choose it in Assign a default template › Template* (eye icon to preview it). Every company template is offered, including templates created by other people. |
| Multiple templates | Different groups need different questionnaires (for example managers and individual contributors). |
In Multiple templates mode:
- Choose the Assign a default template: it applies to every participant who has no specific template.
- In Assign specific templates to participants, click Assign a template.
- In Assign template to participants, pick a template (Choose a template), then select the participants it applies to (Select participants) and click Save.
- Repeat for other templates. The table lists each assigned template and its Assigned participants; click a row to see or remove assignees, or edit the assignment.
A default template is always required.
Step 5: Summary
The Campaign summary recaps the Campaign type (Feedback 360), title, period, number of participants, each setting (Yes/No), the number of reviewers per participant if automatic assignment is on, the person in charge and the template(s). Use Previous to fix anything.
Launch the campaign
- On the summary, click Launch campaign.
- The window Send invitation emails? asks whether to email people. It says the invitations will be sent now, or on the start date for a scheduled campaign.
- Yes, send emails: the persons in charge are invited to choose reviewers; the reviewees are invited to choose their reviewers (only if Participants can choose their reviewers is on); every reviewer already assigned (automatic reviewers and self-reviews) is asked to give feedback.
- No: nobody is emailed now. You can send invitations later from the campaign page.
- You are taken to Feedback › Campaigns:
- if the start date is today, the campaign is in the Current tab;
- if it starts later, it is in the Upcoming tab. It starts automatically on its start date, and the invitations you chose are sent then.
When the campaign starts (right away or on its start date), you, the campaign creator, receive the email "Your 360° feedback campaign "name" has started", with the start date, deadline, number of participants, person in charge and the three participant options, and a link to the campaign.
What is fixed at launch
- The questionnaire is copied from the template. Later changes to the template don't affect this campaign.
- The participants' options (choose reviewers, view answers, self-review) are fixed for this campaign.
- You can still change the deadline, add or remove participants, change persons in charge, manage reviewers and co-pilots. See Manage a campaign.
Common questions
The "New campaign" button asks me about a draft I don't remember.
You started a campaign earlier without launching it. Choose Yes, resume draft to continue it, or No to delete it and start again.
I can't click "Next".
A required field is empty: title and period on step 1, at least one participant on step 2, the person in charge on step 3, the default template on step 4.
The launch failed.
Check that the default template (and any specifically assigned template) has not been deleted in the meantime, and that at least one participant is still selected.
Can I launch the campaign again next year with the same people?
Yes. Use Relaunch campaign on the old campaign: it creates a new draft with the same settings, participants and template assignments. See Manage a campaign.
Can I make a campaign anonymous?
No. Feedback 360 doesn't have an anonymous mode: answers are always attributed to their author for the people allowed to read them. What you control is whether reviewees can read them. See Anonymity and privacy.
