Cross review, submission and locking

How the cross review works in OpenAleph interviews, how to schedule the meeting, what submitting and locking do, and how admins unlock or force-submit.

Submitting an interview locks its answers. For templates of the Cross Review type, a third step, the cross review, produces the final agreed version once both sides have submitted. This page explains the full life cycle and what admins can do to correct it.

Life cycle of an interview set

For a Cross Review template, each participant has three parts:

  1. Interviewee (IE): filled in by the employee.
  2. Interviewer (IR): filled in by the person in charge.
  3. Cross review (CR): filled in by the person in charge, usually during a meeting with the employee. Its status is Not available yet until both IE and IR are submitted.

When the second of IE and IR is submitted, the cross review becomes Not started and Start cross review appears on the interviewer's card. If the employee is the one who submits last, the person in charge is also notified: "Your Interview with name is ready for the Cross review".

For Both templates the set stops after IE and IR; for Interviewee (IE) or Interviewer (IR) templates there is a single part.

Schedule the cross review meeting

  1. The person in charge opens Interview › Team Interviews, then the campaign. The campaign owner can do the same from the campaign's Participants & answers tab.
  2. In the ⋯ menu of the interviewee, click Schedule a meeting.
  3. In Date and time, fill in Select a date*, Start time* and End time*. The date cannot be before today, and the end time cannot be before the start time.
  4. Click Save ("Meeting has been scheduled.").

The employee and the campaign creator receive the invitation "📆 You're invited to the Cross Review on date in the campaign name", with the date, time and names, and an Add to Google Agenda link. The person in charge does not receive this email. You can reschedule the meeting the same way; a new invitation is sent.

Fill in the cross review

  1. Open the interview and click Start cross review.
  2. The cross review shows every question of the template. Above each answer field, the employee's and the interviewer's answers are displayed in bubbles with their names.
  3. The cross review is pre-filled: each answer and comment is copied from the interviewer's answer (or from the employee's if the interviewer left it empty). Change them to reflect what you agreed together.
  4. Click Submit and confirm. Required questions are not enforced for the cross review.

Once the cross review is submitted:

  • The interview set is complete. The interviewer and the employee receive "campaign : Interview completed with name".
  • The employee can read the final version with View cross review in My Interviews.
  • The interview moves to the Done tab for both.

What submitting does

  • The answers of that part are locked: nobody can modify them, including the respondent.
  • The status becomes Submitted and the event is recorded in Last events (who submitted, and when).
  • Notifications are sent (see Notifications and emails).
  • A submitted interview becomes readable by the people allowed to see it: the interviewer for the employee's part, the employee for the cross review, the employee's managers higher up in the hierarchy, co-pilots and admins.
  • Submitted answers become available to AI features (synthesis, Aleph AI campaign chat).

Unlock an interview (admins)

If a respondent submitted by mistake, an admin can reopen their part:

  1. Go to Interview › Campaigns, open the campaign, then Participants & answers.
  2. In the participant's ⋯ menu, choose Unlock Interviewee review (IE), Unlock Interviewer review (IR) or Unlock Cross Review (CR).

The part is unlocked immediately, without a confirmation dialog. It goes back to In progress, with its answers kept, and the respondent can edit and resubmit it. Unlocking is recorded in Last events.

Note: The IE and IR unlock options are disabled once the cross review is submitted; unlock the cross review first. Unlocking IE or IR makes the cross review Not available yet again until both parts are resubmitted.

Force-submit an interview (admins)

Admins can close a part on behalf of its respondent (for example an employee who left the company):

  1. In the participant's ⋯ menu, choose Submit Interviewee review (IE), Submit Interviewer review (IR) or Submit Cross Review (CR).
  2. The part is submitted and locked immediately ("Review has been locked."), even if required questions are not answered.

Submit Cross Review (CR) is only offered once both IE and IR are submitted.

Permissions: Unlocking and force-submitting are reserved to Admins and Super admins, and to Scoped admins for employees in their scope (see Scoped admins). Campaign creators and co-pilots without admin rights also see these options in the menu, but the action is refused ("Error unlocking interview."); they must ask an admin.

Signatures

Interviews do not have an electronic signature step. Submission is the formal validation: it locks the answers and records who submitted and when in the history. If you need a signed document, download the PDF of the completed interview (see Exports and PDF).

Common questions

The cross review stays "Not available yet".

One of the two parts is not submitted. Check the Answers tags (IE / IR) in the campaign, and send a reminder.

"Schedule a meeting" is missing.

It appears only for Cross Review templates, once the cross review exists and is not submitted yet.

Can the employee fill in the cross review?

No, the cross review is filled in by the person in charge. The employee reads it once submitted, with, for each question, their own answer, the interviewer's answer and the final answer.

The interviewer didn't receive "ready for the Cross review".

This email is only sent when the employee submits after the interviewer. When the interviewer submits last, the cross review simply opens on their card.
