Notifications and emails

The emails and notifications OpenAleph sends (account, campaigns, reminders, trainings, goals, time off), in which language, and how links in emails work.

OpenAleph keeps you informed mainly by email, and on your phone by push notifications from the mobile app. In the web app, short on-screen messages confirm your actions and signal when background tasks are finished. This page gives an overview. Each module's documentation details its own emails.

How you are notified

Email Your work mailbox Account emails (invitation, password), invitations to campaigns, reminders before deadlines, results, requests to approve, comments.
Push notification Your phone, if you installed the mobile app and allowed notifications The same key events (for example a new interview to fill in, a reminder, a leave request update). Tapping one opens the related screen in the app. See Mobile app.

Note: the web app has no notification inbox. To see what you have to do, look at Next up! on the home page and the "My..." pages of each module.

Emails you may receive

Your account

Email When What to do
👋 Invitation to join [company] in OpenAleph An admin invites you Click Log in to OpenAleph and log in with the email address shown in the message.
Your OpenAleph password You log in for the first time (or click Send it again) Use the password in the email to log in. You can change it later from your profile.
Reset your password You clicked Forgot? on the login screen Click Reset password and choose a new password. If you didn't request it, ignore the email.
Invitation to an Academy space An organisation invites you as an external learner Follow the link to activate your access. See Academy.
New team member assigned to you: [name] You (a manager) were set as someone's manager, by an admin, an import or an HR system sync Nothing: the person now appears in People › My team. See My team.
Confirmation of your support request You sent a message with Help & Support Nothing: the OpenAleph team will reply by email.

Modules

Depending on the modules your company uses and your role in each item, you may receive:

Module Typical emails
Interviews Invitation to fill in an interview (as interviewee or interviewer), reminders, invitation to a cross review, notice that the other party has submitted, interview completed, co-pilot added to a campaign.
Feedback Campaign launched, invitation to choose your reviewers, request to give feedback, reminders, notice when a reviewer has submitted (for the reviewee and the person in charge).
Surveys Invitation to answer a team survey, reminders, new comments.
Skills Invitation to review, reminders and deadline reminders, co-pilot invitation, notice to the person responsible when a review is submitted.
Goals New goal assigned to you, goal achieved, goal deleted.
OKR You were assigned an objective or a key result, progress updates, objective or plan finished, archived or deleted.
Learn Invitation to a training, reminders, training updated, new comment or reply on a module, face-to-face evaluation results, certificate issued, co-author or co-pilot added.
Work Time New absence request (for the approver), request approved or refused, absence imposed by a manager or admin, request cancelled, leave balance adjusted.

Emails are sent from OpenAleph with the note "Do not reply to this mail". Replying doesn't reach anyone: use the link in the email or contact your admin.

Language of emails

Emails are sent in your OpenAleph language (English or French), not the sender's. To change it, change your interface language on your profile. See Profile and preferences.

The buttons in OpenAleph emails take you directly to the right page (for example the interview to fill in):

  • On a computer, the link opens the page in the web app. If you are not logged in, you log in first and then land on the page.
  • On a phone, a page titled "OpenAleph" offers to open the mobile app (Ouvrir l’application), to download it from the App Store or Google Play, or to continue in the browser (Continuer dans le navigateur). If the app is installed, it opens on the matching screen.

Can I turn emails off?

There is no personal setting to unsubscribe from OpenAleph emails. They are tied to tasks you are involved in (for example an interview you must fill in). If you receive emails you think you shouldn't, contact the campaign's creator or your admin. On your phone, you can turn push notifications off in your phone's settings for the OpenAleph app.

Common questions

I didn't receive the invitation to a campaign.

Check your spam folder. Then check the home page (Next up!) or the module's "My..." page: the task is there even if the email was missed. Emails are only sent when the campaign is launched, so a scheduled campaign won't notify you before its start date.

Why did I get an email about someone else's interview?

You are involved in it: for example you are the interviewer, a cross-reviewer, the manager, the person in charge or a co-pilot of the campaign.

The item may have been deleted or closed, or you may be logged in with another account. Log out, click the link again and log in with the email address the message was sent to. See Troubleshooting and help.

My emails arrive in the wrong language.

Emails follow the language set on your profile. Change it in Profile › Settings › Language.
