Overview of the Interview module - one-to-one interview campaigns, templates, roles, statuses and the end-to-end workflow in OpenAleph.

The Interview module is where your company runs its one-to-one interviews: annual reviews, professional development interviews, probation-period reviews, check-ins and any other structured conversation between an employee and a person in charge. HR (or a Manager creator) builds a template of questions, launches a campaign for a group of employees, and each employee and their interviewer fill in their part online until the interview is submitted and locked.

In the side menu, the module appears as Interview, with up to four entries depending on your access level: My Interviews, Team Interviews, Campaigns and Templates.

Note: The Interview module is licensed per company. If you don't see Interview in the side menu, your company may not have the module enabled; ask your admin (see Modules and licences). 360° feedback and employee surveys are separate modules, documented in Feedback 360 and Surveys.

Key concepts

Term What it means
Template The questionnaire used for the interview: chapters, questions, who can see and who must answer each question. Templates are reusable across campaigns.
Template type Who answers the template: Interviewee (IE), Interviewer (IR), Both, or Cross Review (both, then a final joint version).
Campaign A set of interviews launched at the same time, with a title, a period (start date and deadline), participants, a person in charge and one or several templates. All campaigns are of the One to one type.
Participant / Interviewee The employee being interviewed. Participants are chosen when the campaign is created.
Person in charge / Interviewer The person who conducts the interview: either each participant's direct manager, or one specific person for the whole campaign.
Interview set Everything that belongs to one participant in a campaign: the interviewee's part (IE), the interviewer's part (IR) and, if the template is a Cross Review, the cross review (CR).
Cross review (CR) A final step, opened once both the interviewee and the interviewer have submitted their parts. The interviewer fills it in (usually during a meeting with the employee) to produce the agreed, final version.
Submit / Lock Submitting an interview locks its answers. Only an admin can unlock it.
Co-pilot A Manager creator added to a campaign who gets the same rights as its creator on that campaign.

Interview statuses

Status Meaning
Not started The interview is available but nobody has opened it yet.
In progress The respondent has opened the interview; answers are saved automatically.
Submitted The respondent submitted it. Answers are locked.
Not available yet Only for a cross review: it opens once both the interviewee and the interviewer have submitted.

In My Interviews, an interview moves to the Done tab as soon as you have submitted your own part. In Team Interviews, a campaign moves to Done when none of your interviews still has a part to fill in; inside a campaign, an interviewee moves to Done only when every part of their interview set has been submitted, including the cross review.

Who does what

Employee See their interviews in My Interviews, answer and submit their part, see the final cross review once submitted, download a PDF.
Manager Everything an employee can do, plus Team Interviews: conduct the interviews they are in charge of, see the interviewee's answers once submitted, fill in cross reviews, schedule the cross-review meeting, send invitations and reminders, hand an interview over to another person in charge, generate an AI synthesis of a submitted interview.
Manager creator Everything a manager can do, plus create and manage their own templates and campaigns (and campaigns where they are co-pilot), export campaign data and use Aleph AI on their campaigns.
Scoped admin Manage campaigns created by (or co-piloted by) people in their scope, and lock or unlock interviews of people in their scope.
Admin / Super admin Manage all templates and campaigns of the company, force-submit or unlock any interview, see every submitted interview.

Typical workflow

  1. Build a template. An HR admin or Manager creator goes to Interview › Templates, clicks New template, adds chapters and questions, and chooses the template type (for example Cross Review). See Create and edit templates.
  2. Translate it (optional). For multilingual teams, add languages to the template, manually or with AI. See Translate a template.
  3. Create the campaign. In Interview › Campaigns, click New campaign and follow the wizard: title and period, participants, person in charge, template(s), summary, then Launch campaign. With the Manager option, each participant is interviewed by the manager set in their profile, so check managers first (see Employee profile and Org chart). See Create a campaign.
  4. Participants are invited. If you chose to send invitations, interviewees and interviewers receive an email, an in-app notification and a mobile push notification. See Notifications and emails.
  5. Employees answer. Each interviewee opens Interview › My Interviews, answers their part and clicks Submit. See Answer your interview.
  6. Managers answer. Each interviewer opens Interview › Team Interviews, fills in their own part and reads the employee's answers once submitted. See Conduct your team's interviews.
  7. Cross review. For Cross Review templates, the interviewer schedules a meeting, fills in the cross review (pre-filled with the previous answers) and submits the final version. See Cross review, submission and locking.
  8. Follow up. The campaign owner tracks completion, sends reminders, adds or removes participants and exports the results. See Manage a campaign, Track campaign progress and Exports and PDF.
  9. Use AI. Generate an AI synthesis of a submitted interview, or ask Aleph AI questions about all the answers of a campaign. See AI features.

On mobile

The OpenAleph mobile app gives access to My interviews and My team interviews from the Apps tab: you can open an interview, answer it, submit it, view submitted answers, check the history and download the PDF once submitted. Creating templates and campaigns, and managing campaigns, are only available in the web app. See Mobile app.
