Manage a Feedback 360 campaign

Follow and manage a running Feedback 360 campaign: progress report, participants, reminders, persons in charge, deadline, co-pilots, tags, exports, AI synthesis, relaunch and deletion.

Once a campaign is launched, its owner, its co-pilots and admins follow it from Feedback › Campaigns. This page covers the campaign list, the campaign page and every action available on them.

Before you start

Who What they can do
Campaign owner and co-pilots with the Manager creator role or above Everything on this page.
Admins Everything, on every campaign of the company.
Scoped admins Everything, on campaigns created by people in their population.
Co-pilots with the Manager role Open the campaign and read its data, without changing it.

Persons in charge follow their own reviewees from the dashboard instead (see The Feedback dashboard).

The campaign list

Go to Feedback › Campaigns (subtitle All your current and upcoming campaigns will show up here.). You only see the campaigns you can manage. There are two tabs:

Tab Content
Current Launched campaigns whose start date has arrived, including those whose deadline has passed. Columns: Title, Participants, Completion (share of submitted reviews), Start date, Deadline, Tags. Click a row to open the campaign.
Upcoming Campaigns launched with a future start date (scheduled). Columns: Title, Participants, Start date, Deadline. Their rows can't be opened yet.

On Current, you can search by title, filter by Start date, Participants total, Completion, Creator and Tags, and tick campaigns to export them.

The "..." button at the top of the list offers View deleted campaigns. The New campaign button starts the wizard (see Create a campaign).

Action What it does
Edit deadline Pick a new end date and click OK. It can't be before the start date.
Relaunch campaign Creates a new draft with the same settings, participants and template assignments (not the dates), and opens it in the wizard. Not possible while you already have another draft.
Manage co-pilots Add or remove co-pilots (see below).
Edit campaign tags Add, create or remove tags.
Send email to participants Sends the invitation emails for the whole campaign (see "Invitations and reminders"). Hidden when completion is 100%.
Delete campaign Moves the campaign to the bin. Hidden in this menu when completion is 100%; use the campaign page instead.

Action What it does
Edit period Change the start and end dates. If you choose today as the start date, Launch your campaign now ? asks for confirmation: Launch now starts the campaign immediately.
Delete campaign Deletes the scheduled campaign for good ("This is a permanent action.").

Important: If you start an upcoming campaign early with Edit period, the invitation emails chosen at launch are not sent automatically. Use Send invitation email and Send reminder email on the campaign page afterwards.

The campaign page

Click a current campaign. The header shows the module (Feedback), the title, a Current tag (or Deleted) and its period. The top bar has:

More Edit deadline and Delete campaign.

Overview tab

The Progress report shows the Completion rate, the number of Participants, Reviews in progress and Reviews submitted, and a chart of reviews by status ("Quick view of your campaign completion": not started, in progress, submitted). Self-reviews count as reviews here.

The Feedback completion - Category chart (Compare completion by categories) breaks completion down by a people field of your company, chosen in Field (Job title by default, or for example a department or a location field). Fields come from People attributes.

Participants & answers tab

One row per reviewee: Participant, Template, Person in charge and Answers (submitted reviews / reviewers, self-review not included: grey "0 / 0" when there are no reviewers yet, orange when partial, green when complete). Click a row to open the reviewee's feedback page (see Results and reports).

Search by name and filter by Person in charge, Completion and Deadline. Tick rows to act on a selection; with no row ticked, toolbar actions apply to all participants.

Toolbar actions:

Icon (tooltip) What it does
Add participant Opens Add a participant: fill Who is the feedback about?, Which questionnaire? (only with multiple templates) and optionally Who is in charge of it? (otherwise the campaign rule applies), then Add. The campaign's options apply to them: self-review, automatic reviewers. Their reviewers and person in charge are notified.
Send notifications Send invitation email or Send reminder email to the selection.
Change person in charge Choose a new person in charge for the selection, then Apply.
Delete (with a selection) Removes the selected participants after confirmation ("These participants will no longer be part of this campaign.").

Row menu ("..."):

  • See participant profile (new tab, see Employee profile);
  • Manage reviewers (see Choose reviewers);
  • Set another person in charge;
  • Send invitation email / Send reminder email for this reviewee only;
  • Remove from campaign, confirmed in User will be removed from campaign.

Important: Removing a participant deletes all the reviews about them, including submitted answers. This can't be undone.

Invitations and reminders

There are no automatic reminders: you send them when you want.

Email Sent to
Send invitation email The persons in charge of the selected reviewees ("You are in charge of participants in ..."), and the reviewees themselves if they can choose their reviewers ("Choose who will give you feedback in ...").
Send reminder email Persons in charge whose reviewees still have no reviewer ("Reviewers still need choosing in ..."), and every reviewer who hasn't submitted yet, self-reviews included ("A reminder about your feedback for ..."). Each person receives one email listing everyone concerned.

If everyone has already done their part, the message "Nobody left to write to." appears and nothing is sent. Details of each email: Notifications and emails.

Change the deadline

On the campaign page, click More › Edit deadline, pick a date and confirm. The new date appears everywhere (dashboards, emails sent afterwards). It can't be earlier than the start date.

Close a campaign

There is no "close" button. A campaign is considered finished once its deadline has passed: it stays in the Current tab with its results, and reviewers who haven't answered no longer see it in Next up! on the home page. Delete it if it should disappear entirely.

Co-pilots

Co-pilots help the owner run the campaign.

  1. Click Co-pilot (campaign page) or Manage co-pilots (list row menu).
  2. In Manage co-pilots, search a person in Search for co-pilots and select them.
  3. To remove one, click Remove next to their name.

A co-pilot sees the campaign in their Feedback › Campaigns list. Co-pilots with the manager creator role or above can manage it fully; managers can only view it.

Exports

  1. Click Export to .xlsx on the campaign page, or tick campaigns in the Current tab and click Export to .xlsx (with nothing ticked, all campaigns matching your filters are exported).
  2. In Export data, choose the Export type:
    • Progress (Monitor campaign completion): one sheet with the campaign (dates, creator and co-pilots, participants, total reviews, completion %), and one row per review with the reviewee, reviewer, kind (self or peer), person in charge, the reviewee's company fields, status and submission date;
    • Answers (Focus on responses and insights): the same, plus one column per question with each answer and its comment.
  3. Click Export. The file (XLSX) is generated in the background; it downloads automatically after a few seconds, and you are notified when it is ready.

Campaign AI synthesis

On the campaign page, click Ask AlephAI in the top navigation bar. In the AI-powered synthesis panel, click Generate synthesis to get an AI summary of all submitted answers of the campaign, question by question, without reviewer names. Use Copy, Download PDF or, once new answers have come in, Regenerate synthesis. Only people who can manage the campaign can generate it.

Delete, restore or permanently delete

  1. On the campaign page, click More › Delete campaign (or use the list row menu), then confirm Delete in Delete the campaign ?. The message says deleted campaigns are stored for 30 days.
  2. The campaign disappears from everyone's dashboard, and its reviews can no longer be answered.
  3. To get it back, open Feedback › Campaigns, click "..." next to New campaign, then View deleted campaigns (listed with their Deleted on date), and restore it. It returns to Current (or Upcoming if its start date is still ahead), with all its data ("Campaign restored successfully."). You can also open it from there: it shows a Deleted tag and is read-only, with Restore and Delete permanently buttons.
  4. Delete permanently removes the campaign, its participants, reviews and answers for good.

Common questions

I don't see a campaign a colleague created.

You only see campaigns you own or co-pilot (admins see all, scoped admins see those created by their population). Ask the owner to add you as a co-pilot.

Can I change "Participants can view reviewers answers" after launch?

No. The participant options are fixed at launch. For a different setup, relaunch the campaign with Relaunch campaign and change the options in the new draft.

I added a participant, but they have no reviewers.

Automatic reviewers are only assigned if the campaign uses Assign reviewers randomly, and only among the reviewee's peers, manager and direct reports. Otherwise their person in charge has to choose them.

Why is the completion not 100% although every reviewer submitted?

Self-reviews count: check that each reviewee has submitted their own self-review.

The export didn't download.

Exports are prepared in the background. Wait for the notification that the export is ready and download it from there.
