Members directory

The Members page lists every OpenAleph account of your company, with filters, bulk actions (access levels, attributes, invitations, deactivation) and the Excel export.

The Members page is the admin view of the People module: the list of every OpenAleph account in your company, with its status, access level, manager and main HR attributes. From here admins create, import, edit, invite, deactivate and export members.

Go to Company › People › Members.

Before you start

Permissions: the Members page is available to Admins, Super admins and Scoped admins. A scoped admin only sees the members of their scope and has a reduced set of actions (see the table below). Employees, managers and manager creators don't see this page; they can use the Organization Chart.

The members list

Each row is one member. The columns are:

Column Content
Member Photo, full name and email. Sortable by last name.
Status Invitation status: Not invited, Invited, Active or Inactive (see below).
Access Level Employee, Manager, Manager - Creator, Scoped admin, Admin or Super admin.
Manager The member's manager, with photo and email.
Hire date From the Employment information section.
Last seen The last time the member used OpenAleph.
Job title, Contract type, Work location From the Employment information section.
One column per organisation unit For example Department or Business unit, as configured in your company's people structure.
Pencil icon Opens the member's Profile details window to edit them (for scoped admins, without the Access level part and with Manager read only).

Click a row to open the member's profile in a new browser tab.

Member statuses

Status Meaning
Not invited The account exists but no invitation email has been sent yet. The member can still log in by entering their email on the login page.
Invited The invitation email has been sent; the member hasn't logged in yet.
Active The member has logged in at least once.
Inactive The member has been deactivated and can no longer log in. Deactivated members are listed separately, see Edit, deactivate and restore members.

Search and filter

  • Type in Search to find members by name or email.
  • Click the filter button to filter by Access level, Gender, Manager, Status, and by any people attribute your admin has marked as "Show in filters" (job title, work location, contract type, department, level...).

Filters combine: for example, all Not invited members of one department.

Header actions

On a phone, Add member and the import button are floating buttons at the bottom right of the screen.

Bulk actions

  1. Tick the checkbox of one or several members. You can also use the header checkbox to select every member matching your current search and filters, not only the visible page.
  2. The number of selected members appears, with the available actions:

Manage access levels Gives the same access level to every selected member (and, for Scoped admin, the same scope). Admin, Super admin
Manage attributes Opens Update member attribute: choose an attribute in Select attribute (the Manager or any people attribute, except language and country fields), then Choose a new value and Save. Admin, Super admin, Scoped admin
Send / Resend invitation email Sends the invitation email to the selected members, or sends it again to those already invited. Confirm with Send email. Admin, Super admin, Scoped admin
Deactivate selected members Opens Deactivate members, with an optional departure date. See Edit, deactivate and restore members. Admin, Super admin

When a bulk update only partly succeeds (for example because one member cannot receive the new value), OpenAleph tells you how many members were updated and how many were not.

Export all members

Export all members downloads an Excel file with one row per member of the company (active and inactive), with these columns:

company_uid, firstname, lastname, email, status, manager_company_uid, manager_email, access_level, birth_date, hire_date, gender, followed by the Job title, Contract type, Work location and one column per organisation unit.

Tip: the export uses the same identifiers as the import file (company_uid, manager_company_uid), which makes it a good starting point to prepare a bulk update. The import itself uses its own template, see Import members from a file.

When your members are synchronised from your HRIS

If your company's member data comes from an HRIS integration, the Members page becomes read-only:

  • Add member, Import members, the pencil icon, Manage access levels, Manage attributes and Deactivate selected members are hidden;
  • Export all members becomes the main button;
  • Send / Resend invitation email stays available, so you can still invite people.

Changes are made in your HRIS and applied at the next synchronisation. See Integrations.

Common questions

I don't see the Members page.

It is reserved for admins and scoped admins. Ask your OpenAleph admin if you need it.

I'm a scoped admin and I don't see everyone.

That is expected: you only see the members of your scope. Your scope is defined by an admin in your access level settings (see Scoped admins and perimeters). The link next to your access level on your profile ("(n members administrated)") lists them.

I'm a scoped admin and the import fails or Add member is missing.

Creating members and importing files are reserved for admins and super admins. The Import members button is visible to scoped admins, but uploading a file leads to the Restricted Access page. Ask an admin to run the import.

A member stays "Invited" for a long time.

They haven't logged in yet. Check the email address, then select them and use Send / Resend invitation email. Also ask them to check their spam folder.

How do I delete a member?

Members are never deleted in OpenAleph, only deactivated. Their history (interviews, trainings, reviews) is kept and they can be restored.
