Your profile and member profiles

What a member profile contains in OpenAleph (information sections, interviews, skills reviews, trainings, goals) and who can view or edit it.

Every member of your company has a profile page. It gathers their identity, their HR information (the people attributes your company tracks) and a dashboard of everything they take part in across OpenAleph: interviews, skills reviews, trainings and goals.

Open a profile

  • Your own profile: click your avatar at the top right of the screen, then Profile.
  • A team member's profile (managers): go to Company › People › My team and click View profile on a card, or click a row of the Extended Team tab.
  • Any member's profile (admins): go to Company › People › Members and click the member's row. The profile opens in a new browser tab.
  • From the Organization Chart: click a person's card, then the external-link icon at the top of the Profile details panel. The icon only appears if you are allowed to open that profile.

Permissions: you can open your own profile, the profiles of your direct and extended team if you are a manager, the profiles of the members in your scope if you are a scoped admin, and every profile if you are an admin. If you try to open any other profile, OpenAleph shows an access-denied page. To simply look up a colleague's job, department, email or phone number, use the Organization Chart, which every member can browse.

The profile header

At the top of the profile you see the member's photo, name and email. A deactivated member is shown with a greyed-out background.

Depending on your rights, the header also shows:

Change your language or password

  1. Open your profile and click Settings.
  2. Under OpenAleph Language, pick English or Français. The page reloads in the new language. Emails OpenAleph sends you also use this language.
  3. Under Password, click Change password, type your new password twice and confirm.

Note: a password can only be changed by the account owner. Admins and scoped admins also see Change password on a member's profile and get a confirmation message, but the member's password is not changed. The member can use Forgot? on the login page instead (see Log in to OpenAleph).

The Dashboard tabs

Below the header, the Dashboard has five tabs.

Information

The User information block lists the sections of the profile on the left and the fields of the selected section on the right. Sections are defined by your company. The usual ones are:

Personal information Personal email, Personal phone, Personal address, Nationality, LinkedIn URL, Native language, Spoken languages
Employment information Hire date, End date, Job title, Work location, Contract type, HR reference, Level, Professional phone number, plus one field per organisation unit (department, business unit, site...)
Custom sections Any section and field your admin created in People attributes

Empty fields are shown as Not set. Some fields have extra details:

  • Job title: if the job title has a description, a See full job description link opens it.
  • Skills (under the job title): the skills expected for this job title, from the skills framework. Click + n to see them all and Read skill details to open their descriptions.
  • Access level: for a scoped admin, a link such as "(12 members administrated)" opens the list of members in their scope. Only admins and the scoped admin themselves see it. See Scoped admins and perimeters.

Interviews

The interviews in which the member is the interviewee, with the Campaign, the Person in charge and the Completion status (Not started, In progress, Submitted, Disabled). Click a row to open the interview.

Skills reviews

The member's skills reviews, with the Review cycle, the Person in charge, the Start date and the Completion (reviews completed out of the total). When the member has at least one review, two counters sit on top: Reviews in progress and Total reviews. Click a row to open the review.

Trainings

The training sessions the member is enrolled in: Training session, Training, attendance mode (online or on site), Deadline, Completion and Cost per participant (the member's share of the session cost). Click a row to open the training. A standalone session without a training shows No training and its session status instead of a module count.

Goals

The member's goals (targets) with their Deadline and Completion. Click a row to open the goal.

Each tab has its own search bar. The content of each tab also follows the rules of its module: for example, a manager sees the interviews of their team member but the answers they can read depend on the campaign settings.

Edit profile information

  1. Open the profile and stay on the Information tab.
  2. Select the section to update in the left column.
  3. Click Edit (top right of the section). The Profile details window opens with the fields of that section.
  4. Change the values. In Employment information, the job title comes with a preview of its Job description and Job skills.
  5. Click Save. The message "Settings have been updated." confirms the change.

If you close the window with unsaved changes, OpenAleph asks for confirmation: Quit anyway discards them, Cancel brings you back.

Who can edit what

Who What they can change
The member themselves Their first name, last name, email, birthday, gender, photo, language and password, and the fields of the other sections of their own profile. They cannot change their own access level or manager.
Manager Nothing from the profile page: a manager reads their team members' profiles but does not edit them.
Scoped admin Everything for the members in their scope, except the Access level (not shown) and the Manager (greyed out).
Admin / Super admin Everything, including the Access level (and a scoped admin's scope) and the Manager. Only a super admin can grant the Super admin level.

Note: if your company synchronises member data from its HRIS, the Edit button is hidden: the data is maintained in the HRIS and updated automatically.

Every saved change is recorded in the profile history.

Mobile app

In the mobile app, open the Profile tab:

  • Profile details shows the General information section and every other section of your profile, read only.
  • Tap your photo to Change photo or Remove photo.
  • You can also change the app Language, the theme and notifications, Change password and log out.

Editing profile fields is done on the web app.

Common questions

I can't open a colleague's profile, I get an access-denied page.

That is expected: employees can only open their own profile, and managers only their team's. Use the Organization Chart to see a colleague's job title, department, email and phone number.

Why is the Edit button missing?

Either you are looking at someone else's profile without admin rights, or your company's data is synchronised from its HRIS (in that case nobody edits profiles in OpenAleph).

I can't change my manager or my access level.

Only admins can. Ask your HR team or your OpenAleph admin.

The Manager field is greyed out and there is no Access level in the edit window.

You are a scoped admin: these two fields can only be changed by an admin. See Access levels.

A field I need doesn't exist on the profile.

Profile fields are configured by admins in Settings › People attributes. See People attributes.

My photo upload fails.

Use a .jpg, .jpeg or .png image under 10 MB.
