Certificates and badges

Configure certificates of completion for a training, send, verify and cancel them, download them as PDF, and learn how Learn badges are earned.

Learn rewards learners in two ways: certificates of completion, issued per training with a public verification link, and badges, earned automatically as you learn.

Certificates: set up a training

Permissions: Certificates are configured on the training's management page by its creator, co-pilots and admins. Sending and cancelling certificates requires the Manager creator role or above.

  1. Open the training's management page (Learn › Trainings, click the training) and go to the Certification tab.
  2. Turn on Issue a certificate for this training ("Learners who meet the criteria below receive a certificate automatically or manually.").
  3. In Setup, configure the sections below. Changes are saved automatically, and a Live preview — sample learner on the right shows the certificate with your company name. Under it, What the learner must do sums up the rule you chose (for example "Complete every module in the training" and "Certificate is sent automatically — no trainer action needed").

How learners earn it

"Define what triggers certificate issuance."

  • Automatic — all modules completed (selected by default): "Certificate is sent to the learner automatically as soon as they finish every module. No manual action needed."
  • Manual — trainer or co-pilot sends it: "The trainer, manager, or co-pilot reviews completion and manually triggers the certificate from the Recipients tab."

Validity

"Some certifications need periodic renewal (safety, compliance, ISO…)."

  • Never expires: "A permanent certificate of completion."
  • Expires and requires recertification: "Learner must retake the training to stay certified." Set Valid for: a Duration and a Unit (years or months). The certificate shows Valid until with the expiry date.

Certificate content

"What appears on the certificate. Updates the preview live."

  • Title (default Certificate of Completion),
  • Signatory name and Signatory role (e.g. "Head of Learning"),
  • Logo: Use company logo, Upload custom logo (PNG or SVG, max 2 MB) or No logo.

Verification

"Lets clients, auditors and recruiters confirm a certificate is genuine via a unique QR code and verification link." Turn on Public verification page + QR code: "Each certificate gets a unique ID and a public verification URL."

Certificates: recipients

Click Recipients (with the number of learners, for example Recipients (2)) in the Certification tab. Counters show how many certificates are Sent, Not sent and Cancelled. The list shows each Recipient (name and email), their Type (Internal or External), Completed (completion date), Certificate status and Issued date. Search and Filter above the list.

Row actions depend on the status:

"External recipients appear here alongside internal learners. Certificates are issued and revocable by the trainer or co-pilot."

What the learner receives

When a certificate is issued, the learner gets the email "🎓 Your certificate for ...": "Congratulations! You've been awarded a certificate of completion for ..., issued by ." with a View my certificate button. It opens the certificate page, which shows Certificate of completion, the training, Awarded to, Issued by (your company), Issued on, Valid until (if it expires), the Certificate ID, a QR code (Scan to verify) and "Issued through OpenAleph.io".

At the top of that page:

  • Verification link copies the public link to share with clients or recruiters.
  • Download opens Download certificate ("Choose the language of your certificate PDF."): choose English or Français in Language and click Download.

External learners also find their certificates in their Academy space. See Academy certificates.

Verify a certificate

Anyone with the verification link or QR code can open the public page, without an OpenAleph account. If the certificate was cancelled or the link is wrong, the page shows Certificate not found ("This verification link is invalid. The certificate may have been removed or the link is incorrect.").

Badges

Badges are earned automatically. When you unlock one, a window New badge acquired! appears ("You earned ... badge by acquiring a module. Congratulations!") with a View my badges button, which opens your profile. Your badges are shown on your profile in Badges (see Your profile and member profiles).

Each badge family has four levels, reached at 1, 5, 10 and 25 actions:

Common questions

A learner completed the training but didn't get a certificate.

Check the Certification tab: certificates must be enabled, and with Manual issuance you must click Send certificate. Certificates are issued automatically only from the moment the option is enabled; send the missing ones from Recipients.

Can I change the certificate design after sending some?

Yes. The new settings apply to the certificates issued from then on. Certificates already sent may keep their original content.

What happens when I cancel a certificate?

Its verification page stops working and shows Certificate not found. You can issue it again with Send anyway.
