Profile history

See every change made to a member's information in OpenAleph - which field, old and new value, who changed it, from where and when.

Every profile keeps a history of the changes made to the member's information. It answers questions such as "when did this person change manager?", "who updated this job title?" or "did the last import change this hire date?".

Before you start

Permissions: the history of a profile is available to the member themselves, to scoped admins for the members of their scope, and to admins and super admins for everyone. Managers don't see their team members' history.

Open the history

  1. Open the profile: your own from your avatar › Profile, or a member's from Company › People › Members.
  2. Click the History icon (a clock with an arrow) next to the Settings button in the profile header.

The History window opens with the most recent changes first. Click Close to leave it.

What the history shows

Column Content
Field The information that changed: First name, Last name, Email, Access level, Birthday, Manager, Status, or any people attribute (Job title, Hire date, End date, Department, Work location...).
Change The old value, an arrow, and the new value. A dash (—) means the field was empty before, or has been emptied.
Changed by The person who made the change, with their photo. Automatic sync means no person was involved: the change came from your HRIS synchronisation.
Source Manual (someone edited it in OpenAleph), Import (an Excel import, the author is the admin who ran it) or Automatic sync (HRIS synchronisation).
Date Date and time of the change.

Use the Search bar to find a change by field name or by value (for example a former manager's name or an old job title).

Good to know

  • Values are recorded as they were displayed at the time of the change. If an option, a job title or a department is renamed later, the history still shows the old name.
  • Only real changes are recorded: saving a profile without modifying a field, or a synchronisation that pushes the same value again, adds nothing.
  • Changes made through bulk actions (Manage attributes, Manage access levels), through deactivation (status and end date) and through restoration are recorded like any other change.
  • The history cannot be edited or deleted.

When a profile has no change yet, the window shows "No changes yet" and "Every change to this member's information will show up here."

Common questions

I don't see the History icon.

You are not allowed to see this profile's history: only the member, their scoped admin and admins can.

"Automatic sync" appears as the author of a change.

The change was made by your company's HRIS synchronisation, not by a person.

Why does an import show my name?

Changes made by an import are attributed to the admin who launched it, with the source Import.

A change I made doesn't appear.

Check that you clicked Save and that the value really changed. Refresh the page and open the history again.
